Position Overview:
The Field Support Administrator liaises between field operations and office personnel. This position requires someone proficient in all aspects of data entry, paperwork tracking, and reporting, and well-versed in using spreadsheets. Provide administrative and clerical support to ensure the efficient operation of the office. Orders office supplies and organizes the front area of the office building: answer phones and direct calls to correct contacts. Provide support to visitors in the office. This individual must be able to send emails and distribute faxes, forms, and memos.
Essential duties and responsibilities:
Maintain and update filing systems to ensure current and accurate documentation.Handle telephone communications, directing calls appropriately and recording messages as required.Compile, duplicate, categorize, and file records of office operations, business transactions, and other pertinent activities.Process and dispatch documents such as bills, contracts, policies, invoices, etc.Operate a range of office equipment, including photocopiers, scanners, fax machines, voicemail systems, and personal computers.Respond to inquiries and incoming work requests promptly and professionally.Manage incoming mail by receiving, sorting, and distributing it accordingly.Prepare and dispatch outgoing mail and parcels.Type and format various documents and correspondence.Monitor office supplies and place orders as necessary to maintain adequate stock levels.Ensure the office environment is clean, organized, and conducive to efficient work.Perform data entry tasks, including creating, updating, and managing spreadsheets.Collaborate with the Foreman to meet customer requirements and expectations.Handle 811 locate ticket entries and updates.Manage work logs and crew work schedules.Track inventory and distribute field paperwork to and from field operations.Coordinate necessary street repairs as needed.Requirements:
High school diploma or GED.
Demonstrated ability to manage multiple priorities and effectively plan and organize work to meet deadlines.
Excellent written and verbal communication skills, including strong editing and grammatical capabilities.
Exceptional organizational skills with the ability to multitask and prioritize responsibilities efficiently.
