GENERAL DESCRIPTION:
We are looking for the right candidate to fill an assistant position in the Warden's Office. This position provides clerical support to the Warden and Warden's Executive Assistant. The desired candidate will be able to work independently, take initiative, be very detail-oriented, prepare reports as required, and have a good understanding of a variety of software programs.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
Independently composes and types correspondence related to assigned office/ program area.
Reviews incoming correspondence, applications, etc.; initiates replies as appropriate; routes matters requiring action by staff; follows up to ensure actions are completed.
Compiles and types special reports by selecting relevant information from various sources such as reports, documents, correspondence, electronic files, etc.
Performs specialized tasks relating to databases.
Serves as point of contact for assigned program.
Applies specific knowledge of work unit programs and activities.
Completes special projects for the program manager.
Responsible for customer service, answering questions on departmental services and functions; assisting the public; handles and adjusting customer complaints in a high-volume office.
Interprets policy and procedures for employees, customers, and inmates.
Receives, tracks, distributes, and comprehensively replies to inmate communication forms.
Communicates with inmate families regarding visitation and handles and processes inmate visitation applications; will be a subject matter specialist.
Runs NCIC checks on inmate visitation applications; must be able to be NCIC certified.
Assists the Warden's Executive Assistant, Warden, and other facility staff.
Qualifications
PREFERENCES:
Preference may be given to those with three or more years of progressive work experience in an office environment.
KNOWLEDGE:
Knowledge of administrative and clerical procedures and systems.
Knowledge of record-keeping and preparation of reports.
Knowledge of state governmental organizations.
Knowledge of the principles and methods of gathering information.
Knowledge of forms development techniques.
Knowledge of advanced research, analysis, and compilation of data.
Knowledge of agency-specific specialties. (i.e. construction, engineering, legal).
MINIMUM QUALIFICATIONS:
Education:
Associate's Degree (typically in Business)
Experience:
Acquired knowledge at the level of an Office Assistant I
OR
Education & Experience Substitution:
1-3 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant I

PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Lifting/grasping up to 20 pounds without assistance on an occasional to regular basis
Stooping, bending, kneeling, crouching on an occasional basis
Reaching on a regular basis
Typing/Repetitive motion on a frequent basis
Talking/hearing on a frequent basis
Seeing: the visual ability to perform an activity such as analyzing data and figures, viewing a computer terminal, or extensive reading.
Pre-Service Training is required.
