  We are looking for:

  The Assistant supports the Managing Director to perform the responsibilities in an organized and timely manner which is consistent with the operating practices of the business. This role will act as the Managing Director's first point of contact with people from both inside and outside the organization, constantly maintaining an utmost level of confidentiality and discretion with all information of the business, the Managing Director, information obtained from colleagues, and business activities in general.

  Work location:Banchang,Rayong,Thailand.

  We count on you for:

  Provide a high-quality secretarial and organizational support service.

  Effective management of the electronic diary, assessing priority of appointments and reallocation as necessary, ensuring the most effective use of time for the Managing Director.

  Act as a key liaison point between the managers and other key external parties, setting up meetings as appropriate and maintaining good communications.

  Ensure the Managing Director is well prepared and supported for an extensive range of meetings with internal and external parties. This will include organizing meeting venues, preparing agendas, pre-meeting briefings, taking minutes of meetings, noting action points, and following them up accordingly.

  Research, and collate information from internal and external sources to prepare for presentations or reports for the Managing Director as required.

  Advise the Managing Director of impending work deadlines for both internal and external commitments, e.g. management meetings, reports, presentations, conferences, projects

  Receive and deal with telephone calls professionally, re-direct or take messages, and use initiative to deal with queries.

  Sort, distribute, and respond to or draft responses to incoming mail in a timely and efficient manner.

  Organize, and maintain effective filing systems and support corporate secretarial duties by coordinating documents for signatures, safekeeping, etc.

  Make travel and visa arrangements, book accommodation and prepare travel itinerary for the Managing Director. Coordinate with the respective Executive Assistants to manage the travel itineraries of visiting Senior Management.

  Provide high-quality and professional office hospitality to visitors.

  Organize events, conferences, lunches/dinners, or meetings hosted by the Managing Director.

  Act as the key person to support other functions for vendor creation management processes; gather relevant vendor information, such as legal entity name, address, contact details, tax identification numbers, bank account information, or any specific contractual terms or agreements, etc

  Proactively coordinate and support CSR activities to promote a high participation of stakeholders.

  Organize meals for staff during shutdown/turnaround or upon their request.

  You will bring:

  Minimum 5 years of relevant experience

  At least a Degree in any discipline

  Proficient in Microsoft Office Word, PowerPoint, and Excel

  Experience in vendor management or SAP usage is a plus

  Highly proficient in written and oral communication in English

  Effective communication skills, including the ability to effectively communicate requests and instructions to individuals and groups

  Possess flexibility and adaptability to manage changing work requirements and varying volumes of work

  Ability to work cooperatively and effectively within the team and the organization

  Ability to manage multiple tasks simultaneously, solve problems, manage and meet deadlines, and maintain a high quality of work

  Possess a personal presentation that reflects a professional image and the values of the organization

  Has experience in a busy, diverse, and demanding role, demonstrating strong organizational skills, the ability to plan, and prioritize a complex workload, and meet deadlines

  Has experience in coordinating activity within a team and some experience in coordinating preparation for and outputs from Board or senior-level meetings

  Has a proactive approach, the ability to work on your own initiative, and be assertive to see tasks through to completion

  Has the ability to find innovative approaches to challenges and some resource and project management experience

  Has some analysis and research experience and the ability to work through flexibly and collaboratively in a small team environment to meet changing organizational requirements

  Has strong interpersonal skills and the ability to establish and develop effective relationships and excellent written and verbal communication, presentation, and influencing skills, and excellent attention to detail

  Has strong IT skills including confidence in the use of Microsoft Office (Outlook, Word, Excel, and PowerPoint) ,an understanding and experience of data protection requirements and an understanding of how to handle sensitive situations and the need for confidentiality

  Preferably has some experience working in a social enterprise, community, or voluntary organization (desirable), or at least an interest in social enterprise

  Demonstrates good humor, patience, and empathy when required

  Ideally has a first aider at work qualification, And is ready to demonstrate and develop leadership within the role.
