Summary As the Administrative Support Assistant in the Facilities Division, you will interact with park managers, supervisors, and staff members on administrative matters including, financial tracking, coordinating and scheduling meetings and events, and providing guidance on issues like pay, leave, travel, and procurement. Responsibilities Monitors division expenses during the year and works with Budget Analyst to reconcile division accounts Purchases supplies, equipment, and services for the division utilizing a credit/purchase card and reconciles the monthly statement Serves as technical advisor to unit personnel on travel and prepares travel authorizations and vouchers using automated systems and software Serves as the primary timekeeper for the division and reviews time and attendance submission and assures it is correctly entered into the automated timekeeping system Maintains office files (electronic or manual), including project files, administrative material, reports, and forms Types and composes correspondence, memoranda, reports, work schedules, meeting minutes etc., from drafts or notes using word processing software Requirements Conditions of Employment Qualifications In order to be qualified for this position, you must possess: one year of specialized experience equivalent to the GS-5 level in the Federal service, preparing standardized financial reports (e.g status of funds) for an office; tracking office expenses to ensure they do not exceed allocations; and providing administrative support services (e.g. keeping time and attendance, preparing travel authorizations, procuring supplies) for an office - AND - the ability to type 40 words per minute with three or fewer errors in a five minutes sample Credit will be given for all appropriate qualifying experience. To receive credit for experience, your resume MUST clearly indicate the nature of the duties and responsibilities for each position, starting and ending dates of employment (month/year), and the resume must reflect full and/or part-time or total number of hours worked (i.e., work 40+ hours a week, rather than indicating full-time). If part-time, the hours must be annotated to be able to pro-rate the amount of qualified specialized experience.
