  Job Description

  Duties: As an Administrative PMO, you will provide essential support to the Project Management Office (PMO) by managing administrative tasks and ensuring the smooth operation of project management processes. You will play a crucial role in organizing and maintaining project documentation, scheduling meetings, and facilitating communication between project teams. Your strong organizational skills and attention to detail will contribute to the efficiency and effectiveness of project management activities. The ability to work in a fast-paced environment with strong attention to detail, building interpersonal relationships, and problem solving is essential. The wearing of multiple hats to solve problems is essential to long term success.

  Responsibilities:

  Support project managers in organizing and maintaining project documentation, including project plans, status reports, and meeting minutes.

  Maintain and update project management tools, databases, and repositories, ensuring accurate and up-to-date information.

  Schedule and coordinate meetings, workshops, and other project-related events, ensuring availability of participants and necessary resources.

  Prepare meeting agendas and materials, distribute them to participants, and capture and distribute meeting minutes and action items.

  Assist in tracking project progress and milestones, updating project dashboards, and generating reports as required.

  Facilitate communication between project teams, stakeholders, and the PMO, ensuring timely and effective information sharing.

  Coordinate and support project-related activities, such as procurement, resource allocation, and vendor management.

  Assist in the development and implementation of project management processes and methodologies.

  Provide administrative support to project teams, such as arranging travel, processing expense reports, and coordinating logistics for team members.

  Continuously look for opportunities to improve administrative processes and procedures within the PMO.

  Additional Information

  Education and Experience

  High school diploma or equivalent; additional certification in project management or administrative support is a plus.

  Proven experience in an administrative role, preferably in a project management or office environment.

  Proficiency in using project management software, collaboration tools, and Microsoft Office applications.

  Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines.

  Familiarity with project management processes and methodologies is desirable.

  Ability to work independently and collaborate effectively in a team environment.

  Problem-solving and decision-making skills, with the ability to resolve issues and troubleshoot administrative challenges.

  Flexibility and adaptability to work in a dynamic and fast-paced environment.

  Responsibilities for Health, Safety and Environment include:

  Work in compliance with divisional health, safety and environmental procedures

  Refrain from removing or altering safety devices or guarding unless hazardous energies are controlled through lockout-tagout methods

  Report any unsafe conditions or unsafe acts

  Report defect in any equipment or protective device

  Ensure that the required protective equipment is used for the assigned task

  Attend all required health, safety, and environmental training

  Report any accidents/incidents to supervisor

  Assist in investigating accidents/incidents

  Refrain from engaging in any prank, contest, feat of strength, unnecessary running, or rough and boisterous conduct
