What we want
The Administrative Coordinator is responsible for providing administrative support and office management to Off Campus Student Services within Student Life . These responsibilities include coordination of the office budget, administrative support for four full-time staff members and front-line service for students and stakeholders. A successful candidate will have experience in office management, excel at customer service and the ability to be flexible in supporting this developing unit.

Required Education and Experience:
Bachelor's degree or equivalent combination of education and experience
Two years of experience in office administration
Required Knowledge, Skills, and Abilities:
Working knowledge of computer programs such as Microsoft Office including spreadsheet and word processing programs
Interpersonal and communication skills
Keyboarding skills
Ability to multi-task and work cooperatively with others
Preferred Experience:
Bookkeeping and/or accounting experience
Working knowledge of Workday, Concur and other TAMU software applications
Essential Duties/Tasks
Administrative Support - Provide administrative support to the staff in Off Campus Student Services. Participates in planning and execution of administrative operations for Off Campus Student Services. Develops, monitors, evaluates, and ensures adherence to office procedures. Researches, interprets, compiles, and responds to inquiries about rules, regulations, policies and procedures. Provides email, file, and calendar management and support. Fields questions over the phone and emails sent to office wide email accounts. Screens and refers questions from parents, students, and other visitors, and makes referrals to university offices, as needed. Maintains a variety of fiscal, administrative, and academic records, including confidential files. Coordinates daily workflow and resolution of complex, highly sensitive confidential matters. Monitors compliance with policies and procedures. Coordinates meetings, seminars, and other special events, including travel to events for set-up or other logistics. Coordinates equipment inventory for office and staff. Uses initiative and independent judgment to relieve these staff members of routine and administrative matters: correspondence such as letters, memos, forms, manuscripts, reports, tables; calendar management, and scheduling appointments and meetings.
Event Support - Provides management and support for key Off Campus Student Services programs and services including ordering supplies and scheduling facilities. Researches and analyzes administrative requirements for programs and projects. Provides information regarding administrative procedures, services, or programs. Manages office presentation requests, tracks data, and coordinates scheduling. Consults with staff to support program administrative needs. Including coordinating meetings, events, and special functions.
Purchasing and Budget - Coordinates the yearly budget including records of office expenses for multiple ledger accounts. Processes purchases for all office related events. Creates, maintains, and retains files related to expenses and budgeting procedures.
Committees & Department Roles - Serves as a representative on Department, Division, and University committees and task forces, at events, and to department stakeholders as assigned. Professional and administrative staff are expected to volunteer to assist other program areas within the department. Performs other duties as assigned.
