Description The Administrative Coordinator is the face of the organization who greets all visitors in a friendly, personable, and professional manner. This role serves as the front desk, point-of-contact liaison between employees, internal departments, and external parties including customers, suppliers, and vendors.
• Greet and assist clients and visitors.
• Keep reception area clean and organized.
• Maintain building security by applying procedures for access.
• Maintain supply of office and breakroom items, including restocking of all floors.
• Maintain and service the Virtu coffee machine.
• Maintain and update front desk procedures manual.
• Process and distribute multiple daily mail deliveries, pickup and process outgoing mail, and process international mail weekly.
• Process incoming checks and purchase orders.
• Process and mail finance invoices statements.
• Contact UPS for outgoing mail shipments.
• Monitor and correct forwarded mail.
• Provide monthly postage metering reports to the Director of Finance & Logistics.
• Manage and track temporary access cards assigned to employees and visitors.
• Coordinate maintenance calls for mail equipment.
• Provide backup coverage for the purchasing and facilities function.
