About Administrative Coordinator

  Description

  As a valued member of the Director of Business Operations staff, the Administrative Assistant (AA) is a key contributor to the overall success of the Company. The role involves providing comprehensive administrative support to Project Administrators, the Accounting Department, Project Managers, and the Senior Management Team. Reporting directly to the Human Resource Manager, the AA is pivotal in maintaining the efficient operation of the main office and ensuring the seamless flow of day-to-day business tasks.

  Key Responsibilities:

  Project Administration:

  Collaborate with Project Administrators on various project administrative duties, spanning from Project Setup to Project Closeout.

  Ensure accurate and timely documentation of project-related activities.

  Administrative Support:

  Provide essential administrative assistance to the Accounting Department, offering support in data entry and documentation.

  Extend support to Project Managers and the Senior Management Team based on business needs.

  Office Operations:

  Play a vital role in maintaining the smooth operation of the main office.

  Handle phone support, addressing inquiries, and efficiently managing calls.

  Facilitate mail distribution and manage correspondence effectively.

  Efficiency and Competence:

  Execute all administrative functions with efficiency, proficiency, and competence.

  Stay abreast of relevant tools and technologies to enhance administrative tasks.

  Timeliness and Quality:

  Prioritize tasks to ensure the timely completion of administrative responsibilities.

  Uphold high standards of quality in delivering administrative support.

  Requirements

  Qualifications:

  Proven experience as an Administrative Assistant or in a similar capacity.

  Strong organizational and multitasking skills.

  Proficient in office software and communication tools.

  Excellent verbal and written communication skills.

  Collaborative mindset with the ability to thrive in a fast-paced environment.
