  Pay Range: $24-$26 per hour

  Job Purpose: Provide administrative assistance to Corporate Procurement’s office and staff including the National Accounts Center, Legislative Affairs Department, and Corporate Procurement for office and facility related issues, travel arrangements, guest accommodations, supplies, organization, record keeping, expense oversight, and general support.

  Duties and responsibilities:

  Respond to all email and phone requests relating to the job requirements below promptly, professionally, and timely.

  Track all supply requests, inventory and purchases to maintain inventory

  Maintain the common areas of the office including the lunchroom, conference room and storage rooms in clean and well-stocked working order

  Receive requests to utilize common rooms including the conference room by staff, approve the calendar requests for common rooms, and ensure the rooms are set up ahead of the meeting with appropriate supplies including refreshments for employees and guests, notepads and pens for guests, computer equipment and projectors on and ready to go, and conference phone positioned appropriately.

  Respond to guests in Lobby via phone or in person, providing them access and escorting them to the appropriate office/common room for their appointment, and ensuring security knows of all guests arriving for Baker so s/he can allow them access to the property.

  Receive and distribute mail and packages for staff, and arrange for pickup/delivery of mail and packages to the Corporate office

  Maintain all office equipment in good working order, including printers and ink, kitchen appliances, and bathrooms/janitorial services and hire/request appropriate contractors to maintain said equipment

  Receive phone calls and manage the calendars including setting up appointments, screening calls, and taking messages for leadership employees onsite currently to include Asst Vice President, NAC Manager, and Corporate Procurement Operations Manager.

  Assist leadership employees with any special projects and secretarial duties they may require including assisting with lunch arrangements, bringing beverages to office staff and guests, and ensuring availability of water/tea/coffee/snacks for employees and guests including delivery to leadership offices and common rooms

  Assist employees with travel arrangements and other various event/travel needs from the departments to include flights, ground transportation, lodging, meal reservations and special event registrations/meeting arrangements

  Interface with Lineage logistics (or current management company for the property we are located on) on all facilities, training, safety or notifications to staff about service outages

  Maintain keys and access for all offices both physical and digital access cards to the offices we utilize and control and maintain inventory of spares, and tracking of employees who possess keys

  Assist with overflow calls from the departments as needed (customer service type calls)

  Liaise with management and Corp Procurement staff as needed to assist with projects and requests by Corporate Management

  Interact with others in a professional and ethical manner

  Follow department and company procedures

  Keep up regular attendance and punctuality; regular attendance and punctuality are essential for the smooth operation of this company

  Other duties as assigned

  Position Requirements

  Qualifications (KSA, professional certifications, education, experience, travel requirements):

  Knowledge of office/basic accounting procedures

  Strong communication skills

  Clerical skills such as organization, task management, handling files/records and typing

  Strong attention to detail, organization, problem solving and follow through skills to perform multiple and varied tasks efficiently and effectively

  Ability to work well with others

  Ability to utilize Microsoft Office (word, excel, outlook),

  High school diploma or equivalent; College degree preferred

  1-2 years experience providing administrative support in multifunctional office

  Less than 5% travel requirement

  Physical Demands/Requirements:

  Constantly (over 2/3):

  Operates computer and other office productivity machinery such as calculator, copy machine and printer.

  Remain in a stationary position for 50% or more of the time

  Review documents, organizes data and detects accuracy of information

  Communicates with customers and co-workers and exchanges accurate information in-person, telephonically and via electronic devices/e-mail

  Frequently (1/3-2/3):

  Moves throughout office accessing files, office machinery, etc.Occasionally (under 1/3):

  Moves materials or documents up to 25 lb.
