Job Summary:
Drake's Law School is looking for an administrative assistant to provide administrative support to approximately half of our faculty, including Legal Writing faculty. This position will offer a variety of tasks and responsibilities with some ebbs and flows of work tied to the academic year.
We are searching for someone who is a good collaborator and can also work independently. Good organizational and self-management skills will be invaluable.
Minimum Qualifications:
• Associate's Degree
• Great time management and attention to detail
• Competent using Microsoft Word and Excel
Preferred Qualifications:
• Bachelor's Degree
• Experience working with Adobe and relationship management/communications systems
Job Duties:
60% - Administrative Support: Perform a variety administrative duties including drafting correspondence, recommendation letters, memoranda, interoffice communications, confidential reports, syllabi, speeches and class notes; proofread and format final exams; create photo class lists and seating charts for faculty use; create, submit and extract various assignments and sign-up sheets using Westlaw; prepare expense reports for faculty reimbursements; maintain faculty profile pages as well as the Writing Competition page through T4 Site Manager; submit OSCAR recommendations; send reminder emails to students regarding missing assignments/quizzes and schedule makeups; proofread faculty journals; create PowerPoint presentations and Excel spreadsheets; schedule meetings and exam review sessions; assist faculty with computer issues; distribute parking passes to visitors; order desk copies, class materials and text books; copy and scan various materials; answer phone and relay messages. - (Essential)
15% - Legal Writing Faculty Assistant: Maintain legal writing gradebooks; revise, format and proofread bench memos and other class materials; reconcile memo and brief assignments; record and prepare assignments to return to students; edit and prepare Readiness Assessment Quiz (RAQ) individual and group folders; grade and record RAQs; facilitate makeup quizzes; distribute graded materials; copy and scan various documents. - (Essential)
10% - Exam Administration: Proofread, format and embed midterm and final exams; prepare exam station by setting up exam carts, laptop, scanners, etc.; administer exam check-in procedures for the duration of the exam period; process intake data and scan in all exam questions; ensure all exam answers are printed, scanned and filed in the appropriate exam file; notify Student Services of any discrepancies in intake data; ensure all exams are secure and locked up in exam cabinet; follow up with the Asst. Dean to discuss daily procedures and happenings; obtain and enter multiple choice answers into ExamSoft and create histogram spreadsheets with exam results for faculty use. - (Essential)
5% - Attendance: Create and print weekly attendance sheets and update as necessary; record and monitor attendance; notify Asst. Dean of issues; record attendance warnings sent by Asst. Dean; respond to student inquiries regarding attendance. Misc: Back up receptionist in Room 128 - answer incoming calls, greet and assist students, faculty and visitors; assist at graduation ceremony; sporadic research/data analysis assignments per faculty request. - (Essential)
5% - Podcasting (Panopto): Schedule semester class recordings in Panopto; update recording schedule throughout semester; release podcasts as requested by professors; investigate, troubleshoot and report technical issues; field questions and complaints about issues. - (Essential)
5% - Misc: Back up receptionist in Room 128 - answer incoming calls, greet and assist students, faculty and visitors; assist at graduation ceremony; sporadic research/data analysis assignments per faculty request. Perform other duties, as assigned. - (Essential)
Salary & Benefits
The salary will be commensurate with experience and qualifications of the selected candidate. This is a non-exempt (hourly) position classified as a pay grade 10 (which starts at $16.32/hour).
