Job Title: Administrative Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our dynamic team at a prestigious private equity firm in Santa Monica. The successful candidate will provide comprehensive administrative support to up to three managers, ensuring the smooth and efficient operation of daily activities. Responsibilities:
Calendar Management: Schedule and coordinate appointments, meetings, and events for managers, considering priorities and deadlines.
Communication: Act as a liaison between managers and internal/external stakeholders. Draft and proofread emails, memos, and other correspondence.
Travel Arrangements: Coordinate travel arrangements, including flights, accommodations, and itineraries, for managers as required.
Document Preparation: Prepare, edit, and format documents, presentations, and reports. Ensure accuracy and completeness of information.
Filing and Organization: Maintain organized electronic and physical filing systems. Ensure easy retrieval of documents as needed.
Meeting Coordination: Assist in the preparation and coordination of meetings, including booking meeting rooms, arranging catering, and preparing materials.
Office Management: Handle general office duties, including ordering supplies, managing office equipment, and ensuring a tidy and organized workspace.
Expense Management: Track and reconcile expenses for managers, ensuring compliance with company policies.
Ad Hoc Support: Provide additional administrative support and assistance on various projects as required.
Qualifications:
Minimum of 2 years of experience in an administrative role, preferably in a finance or private equity environment.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Ability to maintain confidentiality and handle sensitive information with discretion.
Detail-oriented and capable of producing high-quality work under tight deadlines.
Requirements - Internet research skills
Candidate must have substantial computer experience including word processing, spreadsheets and presentation software, as well as databases and customer database systemsAt least 1 year of Administrative Assistant experience preferred
Excellent written, verbal and social communication skills
Solid understanding of Concur
