Posting Summary
Rutgers, The State University of New Jersey, is seeking an Accounting Assistant II, Accounts Payable (AP) for University Procurement Services. This position is responsible for processing payment requests for transactions not requiring a Purchase Order (Non-PO) utilizing University's systems to review documentation, complete Excel templates and upload files into the Oracle to produce payments. In addition, the processor will provide back-up support for the processing of Check Requests and assist the supervisor in the reconciliation of clearing accounts and creating journal entries.Among the key duties of this position are the following:
  • Processes Non-PO payment requests by reviewing documentation to ensure compliance with University Procurement Guidelines and Policies and confirming that proper authorizations has been forwarded.
  • Reviews Excel spreadsheet attachments to ensure they are in good order.
  • Prepares and submits Excel spreadsheet of taxable Non-PO payees for processing and set-up by the Suppler Maintenance team.
  • Utilizes submitted Excel spreadsheet attachment to create Excel upload spreadsheet int proper upload format and populates payee and site information for taxable payees into spreadsheet.
  • Uploads completed Excel spreadsheets into Oracle and monitors reports to identify successful uploads and address failed uploads.
  • Communicates promptly and professionally to departmental submitters to advise them of missing and/or incorrect documentation or failed spreadsheet submissions.
  • Follows up with departments to ensure prompt resolution.
  • Provides Check Mailing Team with successfully uploaded spreadsheets for audit and special handling instructions.
  • Maintains daily log of uploads processed.
  • Conducts research in Oracle to obtain payment information.
  • Alerts supervisor and/or management team of issues that may delay timely processing and any Non-PO submissions that appear inappropriate according to guidelines and procedures..
  • Provides timely and professional customer service.
  • Assists Supervisor in responding to Tax Department and Help Desk queries.
  • Processes Check Requests through MarketPlace as needed.
  • Assists Supervisor in the processing journal entries and reconciliation of select clearing accounts.

  Qualifications

  

Minimum Education and Experience
  • Bachelor's degree preferably in accounting/business administration; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of invoice processing, office administration or bookkeeping.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Strong written and verbal communication skills.
  • Computer literacy and ability to learn and work in multiple systems.
  • Intermediate level knowledge of Excel.
Preferred Qualifications
  • Accounting experience in an Accounts Payable environment or application.
