A Brief OverviewThe Access Scheduler I is a point of contact for a variety of sources including nurses, physicians, social workers, and patients and families who request both complex and non-complex scheduling for appointments, procedures, and other necessary services. The scheduler must maintain the ability to complete multiple tasks simultaneously while maintaining confidentiality and a professional demeanor through a consistently positive customer experience.
This position requires accurate completion of all scheduling and registration activity including: collecting and entering demographic information, verifying insurance information, and informing families of referral requirements. Requires the ability to troubleshoot and resolve issues as they arise by utilizing available resources. Collaborates with key department personnel for decisions regarding scheduling issues. Makes every effort to meet the "one call does it all" enterprise benchmark. Includes working with medical records, following HIPAA guidelines.
What you will doPhone TriageResponsible for all initial telephone contact with patients requesting department services. Must handle calls and direct them appropriately and efficiently in accordance with department performance metrics.Answers general information questions regarding appointments, procedures and services (e.g. current studies, study specific information, potential patients, contact lists, etc.) or concerns. Directs/transfers calls to department coordinators as defined by scheduling guidelines.Maintains a working knowledge of current procedures and services and able to answer questions regarding insurance, registration, and other services.Pre-visit/RegistrationResponsible for pre-visit and registration process for patients.Creates and/or updates patient record by verifying demographic, insurance information, or proper study identification in the registration system.Ensures specific registration fields are accurately entered into registration system, including but not limited to visit notes and summaries, referral/authorization numbers, eligibility review, etc.Provides any and all other duties necessary to provide efficient, timely services to patients and their families as it relates to the registration and insurance process.Scheduling CoordinationResponsible for the scheduling and coordination of appointments, procedures and other services including ancillary testing.Explains and educates family about the scheduling process.Maintains consistent and productive communication with necessary departments; precertification, registration, coordinators etc.Provides scheduling wrap-up and necessary communication (e.g. itineraries, reminder calls, etc.) for patients scheduled.Works with Management Staff in identifying trends and opportunities to enhance the pre-visit, registration and scheduli g functions for patients/subjects and department staff.
Education QualificationsHigh School Diploma / GED Required
Experience QualificationsAt least one (1) year Customer Service experience PreferredHealthcare, registration, physician billing, medical records/office experience Preferred
Skills and AbilitiesCompetent computer skillsProfessional skills using sound judgment
