  Description

  The People eXperience & Technology (PXT) organization is looking for an Executive Assistant who wants to work in a fast-paced, exciting, and growing organization. We are looking for someone to support the Director of a large organization with teams based in India, Ireland, the UK, Atlanta, Vancouver, Toronto and Seattle. This role requires working from our Dublin office in Ireland, at least 3 days a week. The role requires occasional international travel.

  As the Executive Assistant (EA) you are responsible for the workflow management of the Director of People eXperience Foundation (PXF). The EA is part of the PXF leadership team and works closely with various business partners, dotted-line EAs supporting the Director’s LT, as well as PE’s Lead EA and the broader PE EA team. PE EAs are highly driven, self-managed individuals who demonstrate initiative and proactively seek solutions to problems. They learn organizational structures and the objectives of the teams they support, as well as build a strong internal network. Working in a highly ambiguous environment, they are able to change direction quickly and manage various ad hoc tasks and projects.

  Key job responsibilities

  Responsible for complex calendar management of an Executive with an organization in excess of 350 employees; scheduling and prioritizing meetings with diplomacy, discretion, and haste. This Director connects with other Amazon executives across the globe, in-person and virtually, and hosts multiple workshops and executive summits throughout the year. This is a fast-pace environment which requires high-profile meeting support throughout the year.

  Identifying key milestones for projects and events, then working backwards to ensure team deliverables are met.

  Relevant preparation, organization and collation of documents, and attendance in key meetings, ensuring the correct audience and cadence, tracking responses as well as coordinating relevant documentation and action item follow up.

  Creating and enforcing mechanisms that will scale, optimizing efficiency around every-day tasks while continually auditing current administrative mechanisms for relevance.

  Arranging complex domestic and international travel including detailed travel itineraries and thoughtful planning.

  Organize, execute, and assist with team and broader organization activities including meetings, socials, and large-scale events.

  People Engagement (PE) is focused on building products to connect Amazonians with the information, resources, and insights they need through best-in-class solutions fueled by data and science. As part of PXT, we are a tech organization at our core; we deliver products that are used by all Amazonians such as an employee directory, feedback collection tool, learning & development experiences, and manager to employee engagement experiences, just to name a few.

  Within the PXT organization, and as the largest team under PE, PXF owns the development of A to Z, Amazon’s flagship employee application that supports corporate employees and the daily work life of associates in our Fulfillment Centers. PXF also owns the development of our Search technology which helps Amazonians find the products and content necessary to surprise, delight and deliver for their teams and their customers, every day. And finally, PXF owns the development of the Learn Management System which provides a personalized, engaging, and efficient learning experience for all Amazonians.

  Basic Qualifications

  Bachelor’s degree, or equivalent and relevant professional experience providing administrative support to senior corporate leadership.

  Relevant experience necessary to manage a complex, dynamic, and fluid calendar across multiple time zones.

  Experience coordinating international travel, itinerary creation, and expense reporting.

  Proficiency with Microsoft Office Suite (Excel, Word, Outlook, PowerPoint), SharePoint, Wiki, and Slack; you consider yourself “tech savvy”.

  Proven ability to work effectively as part of a team, physically and virtually, building effective working relationships in a professional manner.

  Preferred Qualifications

  Experience in a fast-paced, high-tech company.

  Experience designing processes to maximize efficiency.

  Experience leading process improvements.

  A positive work ethic accompanied by a get-it-done attitude.

  Sound judgment and flexibility in balancing competing priorities.

  Strong verbal and written communication skills.
