Wharton Center Executive Assistant
Position Summary
Executive Director and senior management within Wharton Center. This role requires a combination of organizational skills, discretion, and effective communication to ensure the smooth functioning of the executive's office. The Executive Assistant plays a crucial role in managing day-to-day tasks/projects, coordinating schedules, and facilitating communication between the executive and internal/external The Executive Assistant provides high-level project management, and administrative support to the stakeholders.
Key Functions:
Maintain the Executive Director’s calendar/schedule. Exercise discretion in committing time and evaluating priorities. Assist other members of the Senior Leadership team as needed.
Organize and prepare for meetings, including gathering documents and logistics of meetings. Attending meetings and recording notes as needed.
Coordinate travel arrangements for Executive Director and/or other assigned leadership staff.
Support Wharton Center Advisory Council and DEI Committee.
Maintain various organizational records and documents, including events history and sales.
Manages communication on behalf of Executive Director and/or other assigned leadership staff.
Performs office management tasks, including maintaining records, ordering supplies, etc.
Serves as organization contact for university travel and assists with travel and non-travel reimbursements.
Work location: position is in East Lansing with an office location at Wharton Center. Position will be welcome to a 20% remote schedule on a weekly average, based on event schedule.
Unit Specific Education/Experience/Skills
Knowledge normally acquired through a high school education with course work in word processing, typing, shorthand, and grammar; five to eight years of related and progressively more responsible or expansive University work experience in maintaining account ledgers, word processing, spreadsheet, database, and presentation software; editing, composing correspondence, taking dictation; or an equivalent combination of education and experience.
Desired Qualifications
A bachelor’s degree or equivalent. Five years of experience in office or department administration. Office management experience. Excellent computer skills, including a high degree of proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.
