  The Fixed Asset Coordinator is responsible for the requisitioning, documentation, processing of fixed asset and related expense orders for the company. This position coordinates services, installations, and deliveries of fixed assets with vendors, and communicates status of these assets in regards to projects and new facility start-ups.

  Job Requirements:

  • Prepares, creates, and processes requisitions for fixed assets. Maintains tracking of the requisition process and communicates to minimize or avoid delays in processing/delivery of fixed assets.

  • Prepares, creates, and processes purchase orders and expense invoices related to fixed assets and related projects. Reviews documentation and verifies accuracy of orders and invoices for processing. Tracks fixed assets and expenses on invoice tracker.

  • Creates and maintains fixed asset disposal and sale forms.

  • Updates and maintains Capital Orders spreadsheet. Provides updates and timely reporting of data as needed.

  • Coordinates the service, installation, and deliveries of various fixed asset with vendors. Communicates with vendors to ensure timely delivery and readiness of assets by established deadlines.

  • Prepares and distributes facility status report spreadsheet to appropriate personnel on a weekly basis.

  • Manages incoming messages for the Facilities inbox. Communicates regularly with Director of facilities on project progress/status.

  • Assists Director of Facilities with all facility-based requests.

  • Uploads documents/photos/drawings to Facilities intranet and ProLease application.

  • Communicates with facilities group of matters of vendor compliance and contract requirements.

  • Manages the Support Portal tickets, reviews incoming tickets, addresses tickets as needed and assigns to appropriate personnel.

  • Performs other duties as assigned.

  Job Qualifications:

  • High School Diploma/GED is required.

  • Previous experience in purchasing, heavy equipment rental, facilities management, or vendor management is required.

  • Proficiency in Microsoft Office Suite is required. Proficient in Excel.

  • Ability to manage multiple projects, tasks, and deadlines is required.

  • Strong communication skills are required, either by phone or in-person.
