Grade 5EPosition Description:Job SummaryThis position provides administrative support to the department chair, provides general office duties for the department, serves as liaison between department and central university departments, serves as coordinator for the Graduate Studies program, provides technology needs and serves as visual content creator for the department’s TV, social media and Web page. This position reports to the Senior Manager, Unit Business Administration. Essential Duties and Responsibilities Providing administrative support to department chair (maintaining calendar, booking travel, drafting correspondence, etc.)Manage departments procard activities. Serve as reviewer for the department, make reallocation decisions and enter JV’s as necessary. Reconciling multiple departmental procurement cards. Serve as holder of the department’s procard and make purchasing decisions for the department. Coordinating meetings and seminars including preparation of itineraries, travel arrangements, honorariums, meeting minutes, and catering orders.Maintaining departmental TV’s content.Assisting with technology needs of the faculty and staff. Ordering laboratory/office supplies, stockroom orders.Preparing journal vouchers, payment requests, payroll expense transfers and travel expense reports.Web and Marketing POC.Visual Content Creator.Preparing deposits and transporting to the bank.Assisting Director of Graduate Studies with Student Enrollments and grade postings.Coordinating Graduate Studies program.Managing Tuition payments.Managing social networking and websites for department.Collecting, Reviewing and Submitting Effort Reports.Preparing, coordinating and submitting all Faculty Affair Actions (triptychs).Assisting students with issues.Disseminate information to faculty, staff, and students.Lead departmental reporting including the preparation of departmental annual report, the department publications library, the capital assets, space utilization and other University School of medicine department external agency reports as needed.Participate in meetings, seminars, and training sessions on financial and administrative matters.Authorize and track department purchases, including coordinating the processing of purchase orders and payment requests. Preferred Qualifications Experience in higher education, and research finance.
