Position Summary:
The Supervisor, Work Control, manages access control, maintenance,financial, budgets, purchasing, grants and payroll managementinformation. Participates in strategies for increasing campus security,and efficiency for providing access. Under the direction of theirsupervisor, oversees efforts to reduce turnaround for card access,increase work order efficiencies, as well as provides oversite of theWork Order System (FAMIS) used throughout the College. This positionwill be responsible for performing professional level specializedsystems, security and accounting duties requiring application ofadvanced professional knowledge of security, accounting principles,practices and fiscal management.
Duties and Responsibilities:
Supervises Facilities Services technical support and classifiedstaff. Participates in hiring, training, and recommendingdisciplinary action of staff, as necessary. Assists department staffin solving complex systems problemsManages day to day operations, coordination and support for access,key, and work control operations and researches, interprets, updatesand maintains a variety of related records and databasesOversees processes for consistency, effectiveness, and compliance.Researches, interprets, updates, and maintains a variety offinancial records, security records, and databasesEstablishes, monitors, evaluates, and improves processes, proceduresand/or standards, ensuring alignment with the College mission,values, goals, objectives, initiatives and local, state, and Federallaws and regulationsReviews and processes electronic transactions such as those forfacilities maintenance, projects, and access accounts, purchaseorders, and invoicesOversees computerized software systems that are flexible in designand adapts to other facilities systems. Leads research into theexpanded use of the work order system. Monthly monitoring of datarecorded including the status of work orders, service demands, andresource availabilityMonitors and reconciles systems data for completeness and integrityfor accurate reporting. Recommends audits to correct/update data.Performs monthly monitoring of data recorded including the status ofongoing projects, service demands and available resources. 8.Researches, analyzes, and prepares various administrative reportscreating files subject to internal and external audits. Providesweekly, monthly and annual reports as assignedInvestigates and resolves issues and complaints from students,faculty, administrators, staff, and the general public.Troubleshoots systems and applications recommending solutions toresolve both typical and specific process issues. Improves customerservice relative to lead times and service satisfactionDevelops, administers, and monitors department budgets, implementingand allocating resources following budget approval, approvingexpendituresGathers and organizes information on processes and procedures,determining if financial, security and internal controls areadequate to meet objectives, documenting existing access and workorder processes and analyzing data for improvements. Implementingapproved changesMay contact vendor to minimize disruption of services. Providesupdates to supervisor regardin system outageProvides training on assigned systems and leads workshops forfaculty, staff and/or maintenance personnel on proper usage ofsystemsServes as an Access and Work Control representative on committees,task forces, work groups, and in meetings to support Collegestrategic plan initiatives, goals, and objectivesProvides reporting support as directed by Facilities Managers and/orDirectors to ensure Departmental/College goals are met. May providerecommendations regarding reporting methods and reporting practicesMay prepare, review, and provide input on technical proposals andrelated documents for applicability to College needsWorks closely with Business Services Manager to reconcile and verifyaccounting accuracy.
