Essential Functions Answer phones and direct callers to the appropriate individual; greet visitors and direct to the appropriate location; monitor visitors and security system; monitor and report student attendance as required; issue leave passes to students as required. Schedule meetings, appointments and activities as required; monitor calendars. Word process letters, memos, and minutes; proofread materials and create forms; enter, retrieve, verify spread sheet data; photocopy and fax materials; prepare information packets; provides information for internal and external communication; respond to email inquiries; distribute interoffice mail and incoming postal mail/packages. Assist and respond to inquiries and requests of staff, faculty/coaches, students or parents; provide back-up and relieve staff when required. Maintain office equipment, trouble shoot minor problems, contact vendors; maintain academic and office supply inventory, order supplies when required; gather materials to support classrooms. Create and maintain files and data bases on personal, demographic and academic information on students; prepare and run reports and forward to appropriate individual or agency as required.
