  Position Summary

  Reporting to the Manager for Training and Development, HR, the Research Safety Program Coordinator will interface with EH&S's team of health and safety professionals to proactively organize and schedule services, processes, interactions, and compliance-based activities.

  The Research Safety Program Coordinator will provide efficient, client-focused support for the Research Safety Operations, Program Management and Occupational Safety Teams (collectively referred to as "Research Safety Team") throughout the University's expansive research enterprise and all campuses/affiliations including Columbia University Irving Medical Center (CUIMC), Morningside (MS), Manhattanville (MV), Lamont-Doherty Earth Observatory (LDEO), Nevis, Barnard College (BC), NewYork-Presbyterian Hospital (NYPH), and New York State Psychiatric Institute (NYSPI). The Research Safety Program Coordinator will be accountable for assisting the Research Safety Team in assessing current procedures and suggesting creative, sustainable solutions to achieve regulatory compliance and coordinating operations, as well as providing support and redundancy to the departmental administrative team.

  Responsibilities

  Team Coordination

  Coordinate and distribute weekly staffing calendars for the Research Safety Team personnel at all campuses and proactively identify staffing gaps and offer options to team leaders for coverage on an as-needed basis.Coordinate and schedule Research Safety Team field services, including but not limited to laboratory and shop safety surveys, respirator fit-testing, laboratory hazard assessments, and laboratory safety equipment checks (e.g., oxygen sensors, biological safety cabinets, specialty spill kits, fire extinguishing media).Coordinate and schedule weekly FDNY Laboratory Inspection Unit permit renewal visits with FDNY and assign a Safety Advisor escort.Assist Occupational Safety Team in management of industrial hygiene equipment inventory, including managing the schedule and process for sending equipment for periodic calibration and coordinating payment.Assist the Research Safety Team in scheduling meetings with clients/stakeholders (e.g., on-boarding new Principal Investigator, vacating laboratory, etc.). Coordinate staff and vendor schedule and assist with escort, as needed, for annual fire extinguisher inspections performed by vendor.Regulatory Support

  Perform administrative review and complete a checklist for approval of research protocols, purchasing specific laboratory equipment (e.g., non-chemical storage refrigerators, 3D printers, etc.) and providing EH&S "e-clearance" for discarding properly decontaminated laboratory equipment.Receive and enter FDNY laboratory permit information into EH&S information management system, including distributing FDNY documents to university stakeholders.Coordinate and assist the Occupational Safety Team with administering the respirator fit-testing protocols under the supervision of a Health & Safety Specialist.Coordinate and assist the Hazardous Materials Team with administrative duties for review by Hazardous Materials Team (e.g., NYS quarterly Tax, NYSDEC annual hazardous waste generator fee, triennial DOT registration, university waste vendors).Reports and Communications

  Assist the Research Safety Team in monitoring EH&S email aliases and assigning follow-up actions (e.g., @labsafety, @occusafety, @controlled, etc.).Coordinate distribution of laboratory safety reminder emails about seasonal or topical issues (e.g., LATCH).Coordinate Research Safety Team report preparation for various University safety committees.Coordinate a periodic policy/program review schedule (e.g., Chemical Hygiene Plan) and serve as primary format editor for new program manuals, policies, and procedures.Serve as chemical fume hood program communications liaison between EH&S Team, Facilities, and other applicable University partners by distributing certification schedules, entering, tracking work orders for repairs, and dispatching Research Safety Team members to respond to fume hood concerns.Other Administrative Duties

  Provide administrative support for departmental/Research Safety Team meetings and University safety-related meetings (e.g., Institutional Health & Safety Council), including material preparation, attendance tracking, notetaking/meeting minutes, identifying action items, and distributing to stakeholders pre and post meeting.Provide cross-coverage of front office and other EH&S Coordinators, as needed (e.g., phones, mail, reception, ordering, catering, work orders, events, etc.).Provide administrative coverage for multiple campuses (e.g., CUIMC, MV/MS).Coordinate the monthly supply order and reconcile deliveries for Research Safety and Occupational Safety.Routinely check the University's Finance system and coordinate approvals (e.g., 3D printer, freezers).Serve as an editorial member for SafetyMatters Newsletter.Coordinate and maintain the periodic distribution of the EH&S Emergency Call List.Participate in Administrative Team meetings and events.Develop and maintain documented procedures for responsibilities of Research Safety Program Coordinator.Perform other related duties and responsibilities as assigned.Minimum Qualifications

  Bachelor's degree preferred, or an appropriate combination of education and experience, meeting Columbia University's criteria, may be considered. Minimum of 3 years of relevant administrative experience.

  Preferred Qualifications

  Knowledge of environmental health and safety, laboratory, and research environment a plus. Proficiency with Microsoft Office (Word, Excel, PowerPoint, and Access), willingness to learn and implement knowledge of regulatory policies, procedures, and report writing, along with timely submissions of compliance, regulatory documents (state and federal). Excellent communication and outreach skills are essential.

  Must be able to work with minimum supervision; ability to take initiative and work both independently and collaboratively, as a member of a team; ability to facilitate effective operational integration, collaboration, and teamwork within EH&S and Columbia University; ability to prioritize and effectively manage multiple tasks and exercise good judgment in managing time; ability to use discretion to manage up challenges when necessary; ability to actively listen and ask questions; establish and maintain professional, collaborative, service-oriented, cooperative and effective working relationships with students, faculty, staff, unions, customers, the public, regulatory agencies, and co-workers through practical and positive communication; ability to operate information technologies, including advanced database, spreadsheet, presentation design software and word processing editing features; strong written and oral communication skills.
