The Referral Coordinator I schedules and pre-registers patients for exams and procedures with specialists and providers outside of Emory Student Health Services (ESHS).
JOB DESCRIPTION:
Performs basic administrative/clerical/operational/customer support/computer-related tasks.
This role typically works on routine and patterned assignments and falls under the Business Offices Support (BOS) team related to front office operations, medical records, and maintaining updated clinical information within the patient chart, and is expected to meet the needs, concerns, and timing of ESHS as well as the BOS team.
Responsibilities Gathers and communicates all relative information and preparation instructions to patients and to the referring providers.
Decisions are limited to defined parameters around work expectations, quality standards, priorities, and timing, and works under close supervision and/or within established policies/practices and guidelines with minimal opportunity for deviation.
Processes all subspecialty and diagnostic referrals and communicates with outside specialty care, diagnostic agencies, and health plans (if applicable) to initiate referral until appointment is obtained.
Retrieves and uploads all outpatient medical notes/documentation back into the patient chart within ESHS.
Notifies patients of appointment times, educates them regarding significance of specialty/diagnostic appointment, provides reminder calls, and assists patients with their appointments.
Tracks status of referrals on ongoing basis and, if assigned, maintains referral log including, at a minimum: specialty, date of referral, date of appointment, date patient notified, show/no-show status, date specialty consult note received, and date consult note reviewed/signed by provider.
Documents and maintains accurate records for all client encounters including phone encounters and correspondence.
Prepares and submits monthly reports of activities as requested. Ensures that referrals are addressed in a timely manner.
Researches and updates outside referral sources on an ongoing basis.
Serves as a liaison between patients and medical staff for both internal and external services.
Reviews patient charts prior to releasing to requesting provider/department for needed forms and reviews prior to completion; replenishes forms as needed.
Returns records to providers for completion when indicated.
Ensures complete and accurate registration, including patient demographic and current insurance information.
Contacts review organizations and insurance companies to ensure prior approval requirements are met.
Presents necessary medical information such as history, diagnosis, and prognosis.
Provides specific medical information to financial services to maximize reimbursement to the hospital and physicians.
Reviews details and expectations about the referral with patients.
Works well with physicians and physician office staff to obtain necessary medical information relating to the referral.
Meets or exceeds Referral Department productivity targets on a weekly basis.
Demonstrates initiative, motivation, and resourcefulness in day-to-day operations.
Attends any meetings as directed by management. Meetings may be held at other outside facilities.
Works in conjunction with supervisor when Lead is on PTO or any absence to manage referrals/authorizations across practices.
Responsible in training/orientation of new employees on managing incoming and outgoing referrals.
Participates in continued educational/informational meetings/seminars and provides summary or training to Referral Coordinators. Performs other related duties as assigned.
MINIMUM QUALIFICATIONS:
A high school diploma or equivalent, and two years of hands-on healthcare experience in a clinical referral setting.
Proficient with Microsoft Office applications including Microsoft Word, Excel and Outlook. Proficiency with medical terminology.
Experience with Electronic Medical Records, especially for EPIC and Point and Click.
This role may be considered patient facing and is part of the company's Tuberculosis (TB) screening program. If selected for this role, you will be required to be screened for TB.
NOTE: Position tasks are generally required to be performed in-person at an Emory University location. Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
