Description
We are offering a long-term contract employment opportunity for a meticulous and organized Receptionist to join our client in the Construction/Contractor industry located in Baton Rouge, Louisiana. The successful candidate will be tasked with managing front desk operations, handling correspondence, and maintaining an organized and efficient workspace.
Responsibilities:
• Managing front desk operations, including greeting guests, answering phones, and directing calls to appropriate personnel
• Handling incoming and outgoing mail, including receiving packages and preparing shipments
• Maintaining an inventory of office supplies and placing orders when necessary
• Scheduling appointments and updating calendars
• Assisting with data entry tasks and maintaining organized files
• Utilizing Microsoft Excel, Outlook, and Word to perform various administrative tasks
• Distributing incoming mail to the appropriate departments or individuals
• Utilizing strong interpersonal skills to provide excellent customer service to both internal and external stakeholders
• Maintaining a professional and clean front office area to ensure a positive first impression for visitors
• Utilizing a multi-line phone system to manage incoming calls efficiently
Requirements
• Proficient in answering multi-line phone systems
• Demonstrated customer service skills
• Ability to perform data entry tasks accurately and efficiently
• Experience in handling email correspondence
• Strong interpersonal skills for effective communication
• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word
• Experience in organizing files and maintaining records
• Ability to schedule appointments and manage calendars
• Capable of distributing incoming mail to the appropriate recipients
• Familiarity with the construction/contractor industry is a plus
• Previous experience as a receptionist or in a similar role preferred
• Excellent organizational and time management skills
• Ability to multitask in a fast-paced environment
• High school diploma or equivalent required
