Purpose of the Role
The Project Administrator is a critical component of the project team and required to deal effectively with clients and subcontractors to gather information, pricing, compliance and contract documents; to evaluate the accuracy or completion of this information and to help resolve issues or take or recommend action against subcontractor non-compliance. The Project Administrator works closely with his/her supervisor, the Project Manager, the Superintendent, the Project Engineer depending on the requirements of the project. Together, they are jointly responsible for building and managing the team of employees and subcontractors to affect the entire construction process. This position may be located in the office or at a project site.
Functions / Duties
Responsible for timely contract administration of all jobs, including but not limited to preparation and distribution of subcontract agreements, owner agreements, and securing signed contracts from appropriate parties.
Ensure vendors and subcontractors meet our compliance verification requirements. Direct subcontractors to make changes and provide additional information to assist in the payment process.
Attend project meetings, record, and distribute minutes of such meetings.
Responsible for timely change order administration of all jobs, including but not limited to preparation and distribution of subcontract change orders, owner change orders, and securing signed change orders from appropriate parties.
Assist in the preparation of Owner job invoices.
Assume other responsibilities as assigned by the Construction Manager or the Project Manager.
May be subject to overtime on an as needed basis

Knowledge / Skills / Abilities / Qualifications / Experience
The Project Administrator position requires the individual to have a minimum of two years’ experience in working in a similar capacity for another general contractor or subcontractor.
Proficient in Microsoft Office and Bluebeam.
Experience with CMiC, Docusign, and AIA documents preferred.

Spends approximately 70% of the time sitting, and 30% of the time either standing or walking while on the job.
Occasionally* lifts up to 15 lbs, when moving project binders, office supplies or files, and may stoop, kneel, crouch, and balance while performing these same functions.
Occasionally required to climb, crawl, stoop and negotiate ladders, stairs or other routes at and within project sites in order to fulfill duties.
Constantly uses verbal and auditory capacity enabling interpersonal communication as well as communication through automated devices such as E-Mail, telephone and radio.
Constantly employs eye, hand and finger coordination enabling the use of office machinery such as computer keyboard.
Constantly utilizes full scope of visual capacity to travel to project sites and observe/verify project progress in addition to operating automated office equipment.
Constantly - Activity exists more than 2/3 of the time
Frequently - Activity exists from 1/3 to 2/3 of the time
Occasionally - Activity exists less than 1/3 of the time.
