The primary purpose of the Program Coordinator position is to manage program and project activities; engage in strategic planning; and perform complex administrative and reporting duties requiring independent judgment and complex analysis to gather facts and determine appropriate solutions generally based on experience and departmental practice. Responsible for coordinating activities and performing tasks that impact achievement of the goals of the division of Education & Training. The incumbent will impact departmental efficiency and productivity and may support for multiple director level leaders.
Key Functions:
Program Administration (.75FT)
· Provides administrative services and strategic planning to the Department of Education Development and Innovations workforce programs.
Coordinate, track and maintain reports of the program's activities (inquiries, visits, service requests, expenditure and revenue). Create and implement best practices to ensure optimized level of productivity and efficiency for the program.
Coordinates outreach activities for workforce programs, including maintaining contact databases and distribution lists, receiving and completing requests for educational materials and speakers, and assisting with updates to the website.
Coordinates and oversees outside visitors to the workforce workspaces including speakers, VIPs and other guests.
Prepares graphics, charts and tables, designs and assembles material for presentations; initiates and compiles reports agendas, presentations, and other support materials.
Maintains master calendar for program functions, and calendaring for course design, scheduling and payment.
Maintains database of attendance and participation in workforce meetings.
Develops relationships with TIPS and institutional clinical partners to design and manage clinical space for workforce programs.
· Responsible for coordinating, organizing, implementing and supporting logistics for curriculum planning and development, conference, committees and managing the Workforce Steering Committee
· Utilizes strong interpersonal skills to communicate with a variety of individuals, groups, etc. Interfaces with faculty, directors, and staff, to provide new and updated program information and/or policies
· Responsible for the Human Resources activities for the Department of Education Development & Innovation with a specific focus on workforce and grant program development to include preparation of position consideration forms, ePAF initiation and routing, completing job requisitions composing and modifying position descriptions and other HR related functions as assigned.
· Supports the onboarding of classified employees, including office and equipment setups through collaboration with HR and Slate program management
· Support the onboarding of learners, including access and equipment setups as well as workforce program outlines and paths.
· Ensures department compliance with institutional mandatory trainings, goal setting, performance evaluations, institutional/division reports and state and workforce departments
· Prepares documents as needed for meeting, special events, and special projects. Handles other correspondence as needed including general maintenance and management of office files
· Track metrics to measure the success of the division's workforce efforts and suggest innovative solutions.
Financial Operations (.25FT):
· Manage, review and track all electronic personnel action forms (ePAF) for Department of Education Development & Innovation with a specific focus on workforce and grants to ensure required documentation is submitted and all forms are complete and received
· Maintain registration websites using online event management software including entering/modifying registration data, producing reports, and tuition reconciliation
· Uses complex software systems and financial tools to update and retrieve financial information and data
· Monitors and confirms workforce and grant STAT Samples monthly
· Assist in troubleshooting discrepancies and dialogues with leaders to resolve discrepancies
· Follows through to support accuracy of records
· Functions as workforce and grant programs departments Kronos Timekeeper
Maintains current knowledge of expenditures and reimbursement guidelines on various accounts.
Complies with institutional policy and procedure relating to monitoring and spending of funds.
Prepares and submits timely and accurate reimbursement.
Performs necessary calculations.
Ensures completeness and inclusion of all supporting documentation prior to submitting for approval.
Monitors the receipt of reimbursement verifying the amount of check against the documentation.
Provides departmental financial analysis with required support documentation.
· Responsible for grant management and funding for all workforce programs and initiatives.
· Other duties as assigned
Education
Required: Bachelor's degree in Business Administration or related field.
Preferred: Master's degree.
Experience
Required: Three years project/program coordination experience. May substitute required education degree with additional years of equivalent experience on a one to one basis. With preferred degree, one year of required experience.
Preferred: Advanced skill level in Microsoft Office. Experience with Texas Workforce Solutions, workforce programs and grant management
