  Program Coordinator

  Transactional Skills Program

  The Program Coordinator performs a variety of research, planning, and administrative functions to support and facilitate the growth of the Transactional Skills program. The Program Coordinator coordinates day-to-day operations of the program. Moreover, the incumbent assists with the development, organization, production, and evaluation of the program to achieve its mission, goals, and objectives. An employee in this position demonstrates familiarity with University policies and procedures and ensures program compliance. The Program Coordinator may work remotely 2-3 days per week taking business needs into account.

  CORE JOB FUNCTIONS

  Works closely with the Director of the Transactional Skills Program, the Senior Practitioner in Residence, full-time faculty, adjuncts, staff, and students to continuously evaluate the learning experience and improve the quality and value of the program. Registers students for courses using University procedures and systems, if needed. Develops strategic partnerships with external entities and organizations. Creates monthly budget reports to ensure operations are within plan. Assists with database maintenance and enrollment management. Ensures administrative processes and associated forms for instructor services are completed in a timely manner. Responds to various instructor requests and telephone, email, and internet submissions for all programs. Plans and participates in meetings for the department. Adheres to University and unit-level policies and procedures and safeguards University assets. Supports department and/or department leadership with daily clerical tasks. Serves as the liaison between the department and other Units. Prepares materials related to marketing, student recruiting, fundraising, data reporting and other functions needed to support the work of the department. Makes travel arrangements and reservations for department leadership and staff, and coordinates reimbursements as needed.

  Department Specific Functions

  Supports the Director and Senior Practitioner in Residence with daily administrative tasks related to coordination of Transactional Skills Program, which includes 15-18 adjuncts and approximately 150-200 students a semester (fewer during summer semester). The Director of the Transactional Skills Program is also the Faculty Coordinator of the Business Compliance & Sustainability Concentration.

  Benchmarks relevant law school, CLE, and executive education programs and assists in the development of programming for the Transactional Skills Program.

  Assists in the development of law student competitions.

  Assists in development of social media campaign to publicize the program’s faculty and students.

  Acts as liaison between UM and other universities, programs, and bar associations.

  Under minimal supervision, manages attorney(s) and faculty calendar; makes complex scheduling and travel arrangements involving multiple parties, including but not limited to meetings and conferences.

  Prepares financial forms (purchase orders, check requisitions) and handles Workday process for payments and reimbursements.

  Requests and purchases office/clerical supplies as needed.

  Composes and edits internal correspondence and documents or selects standardized formats, designs presentations and may create drafts of department publications such as flyers, PowerPoint presentations, website text; provides routine and general clerical support which may include reports, and statistics;

  Make photocopies of correspondence, documents, and other printed matter; mail, fax, or arrange for delivery of legal correspondence to stakeholders.

  Serves as a primary information resource regarding department and University policies, procedures, and operational functions.

  Answers telephones, take messages, answers routine questions, and transfer calls to appropriate individuals.

  Greets visitors and callers, handle their inquiries, and direct them to the appropriate persons according to their needs.

  Handles other special projects such as student awards and CLE Programs.

  Helps with posting assignments and running webinars and other online events.

  Conducts basic legal and corporate research and assists in preparation of materials for external and internal presentations by the Director of the Transactional Skills Program.

  Provides administrative support to the Director of the Transactional Skills Program, who also teaches courses outside of the Transactional Skills Program.

  Prepares weekly reports and conducts analysis on student comprehension (individual and as a class for all Transactional Skills sections) based on student performance on weekly assignments through software Feedback Fruits to provide real time data to adjunct professors and Director.

  Assists in development of specialized externship program for Transactional Skills Program students and coordinates with the Career Development Office and Externship Program.

  Works with the Director of the Transactional Skills Program on marketing, fundraising, data compilation, and other projects related to the law school’s Transactional Skills curriculum. In this role, the Program Coordinator independently manages projects and coordinates with the department’s internal team as well as with external Departments.

  Education/Experience: High School or equivalent and minimum 1-3 years of relevant work experience. Some college preferred.

  Knowledge, Skills and Attitudes:

  General knowledge of office procedures and operations

  Ability to work in flexible, fast-paced environment under deadlines

  Ability to accurately prepare and maintain records, files, reports, and correspondence

  Ability to communicate effectively in both oral and written form

  Ability to maintain effective interpersonal relationships with internal and external stakeholders

  Ability to process and handle confidential information with discretion

  Skill in completing assignments accurately and with meticulous attention to detail

  Proficiency in computer software (i.e. Microsoft Office, Google Docs, Folders, Sheets, and Forms) and ability to learn new software needed to perform job functions (e.g., Feedback Fruits, Blackboard, Microsoft Teams, Google Meets)

  Ability to draft a variety of materials (e.g. summaries of department work, text for websites, flyers)

  Ability to function independently and work with a large team to complete certain projects (e.g., recruitment, completion of department newsletter etc.)
