Posting Summary
Rutgers, The State University of New Jersey has an opening a Program Administrator in the Center for Education Research and Innovation (CERI) within the School of Nursing located in Newark, NJ. The Program Assistant will provide administrative and program support for the Assistant Dean and Director of the Center for Education Research and Innovation (CERI), the Center for Clinical Learning (CCL), and the Center for Professional Development (CPD). The Program Assistant is responsible for departmental operational functions, prioritization of essential duties and responsibilities, and providing resolutions where applicable. Under direction, is responsible for coordinating the administrative, fiscal, contractual, and regulatory activities.Among the duties for this position are:
  • Coordinate aspects of the programs, activities, and functions, including but not limited to:
  1. Manage contracts, correspondence, emails, and telephone communications.
  2. Maintain records and databases.
  3. Prepare program agendas, materials, evaluations, and certificates.
  4. Assist in data collection and management related to reports, surveys, and forms.
  5. Develop content and coordinates materials for programs and activities, including but not limited to: slide presentations, brochures, flyers, catalogs, and social media.
  • Maintain financial records and databases, monitors revenue and expenditures, and facilitates all financial contracts, forms and transactions through each approval phase to completion.
  • Process payments and purchase orders.
  • Research purchase information and submits requisitions.
  • Ensure compliance with University, government, regulatory, and/or funding agency policies, procedures, and documents.
  • Oversee the departmental calendars, including but not limited to: scheduling facilities, meetings, programs, and events.
  • Develop timelines to monitor workflow, maintains accurate records of follow-up procedures, and tracks activities for all ongoing administrative functions.

Required Knowledge, Skills, and Abilities
  • Bachelor's degree
  • Working knowledge of Microsoft Office Suite, including database skills, common email programs, and web browsers
  • Careful attention to detail and strong organizational skills are essential. Excellent oral/written communication and interpersonal skills as well as the ability to work in a fast-paced team environment.
  • Equivalent experience, education and/or training may be substituted for the education requirements.
  • Requires some flexibility regarding campus and site locations as well as scheduled hours.
Preferred Qualifications
  • Two (2) years administrative assistant, program planning, program support, and/or related experience strongly preferred.
  • Master's degree
  • Qualtrics, Survey Monkey, and/or related experience a plus

Physical Demands and Work Environment
  • Must be able to sit or stand for extended periods of time, and carry materials or roll equipment weighing up to 35 pounds.
  • Requires some flexibility regarding campus and site locations as well as scheduled hours within a 37.5 hour work week.
