Description We are inviting applications for a Payroll Specialist / Analyst position based in Napa, California. The role primarily involves processing payroll, ensuring compliance with regulations, and reconciling payroll related accounts within a large organization encompassing multiple entities. This role is highly focused on payroll and accounting integration, and does not include HR functions.
Responsibilities:
• Accurately process payroll for multiple entities using different systems such as Paycom and QuickBooks.
• Ensure timely processing of all forms of compensation including wages, salaries, commissions, bonuses, etc.
• Reconcile various payroll-related accounts like 401(k) contributions, garnishments, employee loans, and bonuses.
• Prepare and distribute packages for check distribution on a weekly basis.
• Process manual and off-cycle checks as required.
• Assist with payroll adjustments, payoffs, and related calculations.
• Send weekly timecards to supervisors for verification and ensure all time is entered accurately and on time.
• Identify and resolve time discrepancies by communicating with supervisors and employees.
• Prepare detailed payroll and accounting reports, including billing reports, payroll summaries, and liability schedules.
• Ensure all payroll liabilities, including federal and state taxes, are reconciled, processed, and paid on time.
• Assist with payroll related billing and reporting, ensuring accuracy and completeness.
• Prepare and submit required state and federal reports, including DE34 filings.
• Maintain compliance with all applicable laws, regulations, and internal policies.
• Ensure confidentiality and ethical handling of payroll data.
• Work with the accounting team to reconcile payroll entries and adjustments in the general ledger.
• Provide support for audits and payroll related inquiries. Requirements • Minimum of 2 years experience in a Payroll Specialist/Analyst role
• Proficiency in ADP Workforce Now
• Familiarity with 401k - RRSP Administration
• Strong knowledge of general accounting functions
• Experience in auditing processes and procedures
• Understanding of benefit functions and their administration
• Ability to use Paycom software efficiently
• Proficient in QuickBooks and QuickBooks Pro
• Experience in account reconciliation
• Advanced skills in Microsoft Excel
• Fluency in Spanish language is a plus
