About Operations Office Assistant

  ABOUT THIS ROLE

  To liaise with clients and customers with regards to new orders and project queries.

  Proactively manage the diary of the Operations Director, anticipating and resolving any conflicts.

  Arrange meeting and travel necessary to the Operations Director diary movements.

  Assisting with the setup of projects including the procurement of plant and consumables.

  Supporting and working alongside the Operations Director and Operations Manager in producing and maintaining essential paperwork for live projects, including document editing and final proofing.

  Liaising with and retrieving key information from clients prior to commencing works.

  Overseeing the planning for new site developments on behalf of the Operations Director.

  Liaising with subcontractors including sending key information and raising subcontract orders.

  Production of correspondence on behalf of the Operations Director and Operations Manager.

  Ensuring effective communication between the Operations team and other departments within the business.

  Liaising with the Quality team with regards to compliance and audits.

  Accurate minute taking in meetings where required.

  Processing work sheets, completing monthly costings and raising purchase orders for site-based staff.

  Managing electricity and water accounts/bills for all Mick George Group sites, including processing monthly bills, resolving any queries, obtaining regular meter readings from site staff, arranging new utility installations, and corresponding with utility suppliers for new supply quotations.

  Administration support to the Operations Director in relation to MG Recycling Ltd.

  Any other tasks deemed appropriate by the Operations Director.
