NY1485719 Office Supervisor needed for Centro of Oneida in Oneida.
DEPARTMENT: Administration, Centro of OneidaSALARY RANGE: $46,216-$51,657Note: Starting salary is determined by evaluation of experience and qualifications for the position. HOURS: Monday through Friday, 8:00am to 4:30pmJOB SUMMARY: This position is responsible for providing administrative support to the departments: Human Resource, Maintenance, Operations, and the Centro Oneida Hub. This position is non-exempt.
MAJOR DUTIES:1.Performs administrative duties for the Maintenance and Operations department along with the functions of Human Resources in Oneida.2.Supervises and evaluates subordinate personnel.3.Acts as a backup to the Administrative Assistant.4.Oversees the money room and reconciles petty cash reports.5.Acts as the liaison between Centro of Oneida and HR for active and retired employee benefits including: medical/dental insurance, vision benefit, pension, and life insurance. 6.Oversees the creation of personnel files and coordinates maintenance of files with HR.7.Facilitates workers compensation and NYS disability paperwork and submits to Syracuse HR. Directs updated medical records, and notes to HR. Manages the return-to-work process for all Oneida employees. 8.Facilitates the Family Medical Leave Act (FMLA) paperwork to Syracuse HR. Provides employees with applications, tracks used and available time (FMLA) in the payroll system.9.Maintains and tracks wage increases for all represented personnel.10.Responsible for scheduling quarterly random drug testing, post-accident testing, return to work testing, and reasonable suspicion testing under FTA regulations and Company Policy.11.Maintains and updates the employee Central Security cards as necessary to grant/deny access to the building.12.Oversees the hours worked for the Security Guard at the Oneida Hub, approves monthly invoices, and then submits to Accounting for payment.13.Oversees reconciliation of Global gas receipts for the monthly billing and submits to the Accounting Department for payment.14.Reconciles the monthly corporate bills for Oneida and submits to the Senior Director of Operations for authorization.15.Oversees printing and distribution of employee weekly pay checks for Oneida. 16.Maintains weekly absentee records, including employees vacation, sick leave, floating holidays, personal days, disability, workers compensation and Family Medical Leave for all represented employees.
17.Creates, updates, and maintains all procedure manuals for the Oneida office.18.Assists with the Internal Control process for Oneida.19.Oversees the Vesid and College pass programs.20.Perform other related duties as assigned.
KNOWLEDGE REQUIRED BY THE POSITION:Education: High School Diploma or GED Equivalent required; Associates Degree preferred or equivalent combination of education and applicable experience.1.Knowledge of contemporary office practices and procedures.2.Knowledge of Authority policies and procedures.3.Skill in maintaining reports and files.4.Skill in operating a computer, calculator, copier, facsimile machine, and other office equipment.5.Skill in interpersonal relations.6.Skill in oral and written communication. 7.Ability to speak clearly and communicate politely and professionally with the public in person and over the phone.
