Job Summary
Under the general direction of the Assistant Director of ResidentialLife for Conferences, Events and Residential Operations, this positionoversees the administrative, operational, and project management andtracking functions for the Conferences, Events and ResidentialOperations functional area. This position is responsible for themanagement of office records; creating and ensuring accuracy inpreparation of written materials; following up, tracking, and reportingon projects and workflow; creating and updating forms and documents;utilizing digital communication platforms and/organizing documents asneeded. Additional responsibilities include office coverage, schedulingmeetings, room reservations, monitoring and maintaining the officebudget, processing expenses, and assisting with travel arrangements.Employees at this level function with independence and authority thathave a significant impact on the unit. Duties Responsibilities
Administrative
Provides administrative support for the Assistant Director ofResidential Life for Conferences, Events and Residential Operationsand two (2) Program Coordinators.Coordinates, monitors progress, and expedites unit operationalprojects, meetings, conferences, and travel arrangements. Initiates,gathers, provides, clarifies, and interprets information through theidentification and selection of appropriate sources.Maintains a calendar of operational and administrative commitmentsfor the Conferences, Events and Residential Operations team.Maintains records of fiscal transactions and works closely with theResidential Life Accounting Specialist and Housing Business Servicesin understanding financial processes and procedures.Assist with purchasing operational and office supplies whileadhering to university guidelines.Provides office coverage.Conferences
Initiates Conference contracts, meeting space reservations, andhousing accommodations in booking and reservation system (StarRez,EMS Space Reservations system).Works collaboratively with campus stakeholders including CampusParking, Campus Special Events, Office of Business and FinancialServices, Campus Recreation, Division of Intercollegiate Athletics,to name a few.Assists with billing for space rental and summer conferencesResidential Operations
Assist with planning details and communication for move-in, interimhousing, summer housing, pre-early arrival housing and early arrivalhousing.Assist with maintaining and documenting daily operations,procedures, and policies within the SDRP and ISR programming space.Manage respective budgets related to the SDRP building and ISRprogramming space.Events
Assist coordinating meal and guest meal tickets for groups notaffiliated with University Housing.Assist with invoicing and processing payments for meal tickets.Provide administrative support for the move-in program.Other duties as assigned.Additional Physical Demands
The position requires mostly sedentary work; occasional personalcontacts in other locations on campus. Light lifting may be required.The work is mostly performed in an office setting. The workspace isshared with other staff.
Minimum Qualifications
High school diploma or equivalent.Two (2) years (24 months) of work experience comparable to the thirdlev l of this series.Knowledge, Skills and Abilities
Ability to work in an environment with diverse staff and students.Ability to work in a workspace shared with other staff.Ability to effectively respond to conflict, maintainconfidentiality, and understand office procedures.Ability to work independently and exercise good judgment.Excellent organizational and clerical skills; ability to multi-task,prioritize, work independently, and take initiative.Proficiency in Microsoft Word, Excel, Outlook, iBuy and ChromeRiver, Microsoft Teams Effective verbal and written communicationskills with strong attention to accuracy and detail.Appointment Information
This is a 100% full-time Civil Service 3266 - Office Manager position,appointed on a 12-month basis. The expected start date is June 24, 2024.This is a bargained position, and as such, the salary is driven by thecollective bargaining agreement. The entry-level salary for job titleOffice Manager is $22.701 per hour/$44,267.08 annually.
