  •Invoice processing – all invoices related to building management on monthly basis. Checking all invoices, requesting corrections, secure all payments are processed on time. Quick payment process when necessary.

  •Creating Purchase Orders for teams by request, managing payments of received invoices. PO revision and confirmation in internal systems, communication with helpdesk team if necessary.

  •Vendor management - allocation of new vendors to create savings, meeting vendors, participation in preparation of contracts and agreements, extension of existing contracts. Inputting vendors into the database – communication with local vendors.

  •Office management - Ordering stationery, beverages on regular basis and based on inventory. Checking of all meeting rooms on daily basis, assuring all equipment is in place. Ordering catering and conference rooms preparation upon request.Regular site checks, handling of requests from employees, arranging service delivery and closing of maintenance issues. Responsible for local storage rooms. Employees access cards administration, administration of employee/visitor accesses in the system. Ensure image of front of house and whole office is maintained.

  •Cooperation with HR, support with organization of company events/external meetings.

  •Mobile phone management - – subject matter expert and contact person with local service operator. Administration of new request, renewals, complaints

  •Local mail service administration – regular post visits, cooperation with TNT on ad hoc request. Collecting all post received once a week and distributing to all recipients.

  •Preparation of various internal guides and memos for employees, administration of share point site for employees, T&E support.

  •Keep the line manager up to date with any problems and follow up where necessary. Pro active approach, promptly solving of problems, issues caused.
