About Office Coordinator / Receptionist

  Summary

  As the Office Coordinator / Receptionist, you will be the first point of contact for our Clark / Atkinson employees and visitors. Your core responsibilities will be centered around the front desk. You will coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Multitasking and managing workload in a fast-paced environment are essential for this position.

  Responsibilities

  Greet and welcome guests as soon as they arrive at the Irvine office

  Direct visitors to the appropriate person and office

  Answer, screen and forward incoming phone calls

  Provide general information to callers about the company

  Ensure reception area is tidy and presentable

  Open, stamp, sort, distribute mail daily. Ship & receive packages; process all outgoing mail, organize and send weekly corporate mail packages

  Coordinate catering orders for multiple departments within the company

  Conference room coordination

  Help with the coordination of regional events for the Western South offices (LA, Irvine, San Diego)

  Inventory, track, and order office supplies with guidance from the Office Manager

  Ensure copy rooms & kitchen are neat, clean, and fully stocked

  Provide accounting support for all of our Western South offices including but not limited to: setting up vendors, creating POs, submitting invoices and ensuring payment is processed

  Other duties as assigned

  Qualifications

  Proven work experience as a Receptionist, Front Office Representative, Administrative Assistant, or similar role

  Proficiency in Microsoft Office Suite – Google Suite experience is a plus

  Professional attitude and appearance

  Solid written and verbal communication skills

  Ability to be resourceful and proactive when issues arise

  Excellent organizational skills

  Multitasking and time-management skills, with the ability to prioritize tasks

  Customer service attitude

  Reliable

  Able to lift up to 25 lbs

  Ability to anticipate needs of the office

  Hours: Mon-Friday from 7:30am-4:30pm.

  Clark offers a total compensation package that includes base salary, bonus potential, and a comprehensive benefits package including health/dental/vision benefits, paid time off, retirement/401k, and Company Contribution plan. Additional benefits include life insurance, commuter benefit, short & long term disability, fitness reimbursement, FSA, tuition reimbursement, back-up daycare, tutoring & family support benefits, EAP/Work-Life assistance, and a holiday contribution program. For this role the hourly range is $18.00-24.00 per hour. Compensation may vary outside of this range depending on a number of factors, including a candidate’s education, experience, skills, and geographic location.
