GENERAL DESCRIPTION
As the Office Coordinator, you are the first person to set the tone for our culture and brand by welcoming all visitors either in person or via our phone. This role ensures visitors complete the sign in/ out register log as well as answers the main phone line to direct calls to the correct personnel. Professional comportment is expected including speaking clearly and using a professional moderate tone of voice; this role is also responsible for the impression given by the front desk, lobby, and conference room areas. Keeping these areas free of clutter and packages is expected. Maintaining the facility functionality will require liaising with the building management vendor as well as consumables vendors. This position also enforces the security and emergency control measures by following instructions in the Emergency Contingency Plan.
ESSENTIAL FUNCTIONS & RESPONSIBILITIES
Direct callers to the appropriate support area for assistance.
Greet visitors in a pleasant and professional manner, requiring sign-in and sign-out for the duration of their visit.
Facility management responsibility by operating as the main point of contact for facility related issues and coordinating with facility maintenance to resolve the problem in a timely manner, and appropriately communicate to associates the status of office maintenance.
Maintain close communication and relationship with the ChemTreat maintenance team for coordination of in-house items.
Organize office and ensure the environment is tidy in the lobby, main hallways, and conference rooms.
Check all conference rooms daily to ensure they are orderly and clean. Notify meeting organizers if there is food or other materials left in the room so the meeting organizer can collect those items.
Monitor level of supplies and re-stock coffee bar supplies, storage supplies, and office supplies, as needed; including re-ordering through the company system when we have supply shortages in partnership with procurement to supply more sustainable supply options.
Sort and distribute mail/deliveries/communications in a timely manner; Deliver parcels to the correct person in the building or place in the mailroom.
Create and update employee badge records ensuring accuracy and validity of information.
Resolve facility-related malfunctions and respond to requests or issues, including inputting service requests into a ticketing system for maintenance support.
Monitor and maintain Fitness Center access waivers.
Order business cards for associates upon request in collaboration with our designated vendor.
Coordinate with other departments to ensure compliance with established policies.
Maintain trusting relationships with suppliers, landlord, customers, and colleagues.
Partner with the Executive Assistant team for meeting room set-up needs.
Compliance with emergency contingency plans.
Other duties as assigned.
KNOWLEDGE & SKILLS
Strong oral communication skills with the ability to interact with customers, coworkers, field representatives, management, and visitors
Pleasant and professional phone voice/manner; high level of confidentiality and discretion
Excellent typing, grammatical, proofing, and editing skills
Strong organizational, multi-tasking, and follow-up skills
Ability to work independently with minimal supervision
Microsoft Office Suite or equivalent skills
EDUCATION & EXPERIENCE
High School Diploma; business school or college courses preferred
Minimum five years relevant experience
PHYSICAL DEMANDS
Constantly required to sit and occasionally required to walk, stand, climb, balance, stoop, bend, kneel, crouch or crawl, and talk, hear, and smell
Constantly using hands and fingers to handle, feel or operate objects, and computer keyboards.
Occasionally reach with hands and arms, squat, turn/twist, or reach, lift, carry, push, or pull up to 20 pounds
Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus
