About Office Assistant

Description We are offering a long term contract employment opportunity for an Office Assistant in West New York, New Jersey, 07093, United States. This role involves handling a variety of administrative tasks in the office environment and utilizing your skills in office administration and answering inbound calls.

Responsibilities:

• Managing the office administration function to ensure smooth operations.

• Answering phone calls promptly and professionally.

• Assisting with scheduling appointments and managing staff allocations.

• Undertaking data entry tasks and maintaining organized office files.

• Ensuring office equipment is operational and office supplies are well-stocked.

• Assisting with basic accounting tasks such as billing and invoicing.

• Preparing financial reports with a high degree of accuracy.

• Serving as the first point of contact for office visitors and maintaining a professional demeanor.

• Utilizing Microsoft Office applications and database management systems proficiently.

• Building and maintaining effective relationships with colleagues and clients. Requirements • Proficiency in handling and responding to inbound calls in a professional and courteous manner

• Demonstrated ability in office administration, including managing files, scheduling appointments, and maintaining office supplies

• Excellent communication and interpersonal skills to interact effectively with clients, staff, and management

• Ability to prioritize tasks, manage time effectively, and meet deadlines

• Strong problem-solving skills and the ability to handle office-related issues promptly and efficiently

• Familiarity with office equipment such as photocopiers, scanners, and fax machines

• Proficiency in using computer applications such as Microsoft Office Suite for tasks like data entry, creating documents, and managing emails

• High level of accuracy and attention to detail in all tasks

• Ability to work independently as well as part of a team

• High school diploma or equivalent qualification; further training in Office Administration is a plus.
