The Medical Appointment Clerk Internal Medicine Clinic shall Provide administrative medical records support services for various clinical departments at U.S. Naval Hospital Okinawa, Japan U.S. Naval Hospital Okinawa provides professional healthcare for more than 55,000 beneficiaries on Okinawa and referral services for nearly 189,000 beneficiaries distributed around the Pacific.
Responsibilities
Process approximately thirty (30) patient medical records per hour. Approximately 337,820 patient medical records will require processing during the morning shift in a 12-month period. Approximately 67,060 patient medical records will require processing during the late morning shift in a 12-month period.
Assemble initial patient treatment records, utilizing Composite Health Care (CHCS) and Automated Data System (ADS).
Review outpatient-visit documentation and enter the appropriate Internal Classification of Disease (ICD-9) codes.
Adhere to accepted coding practices as prescribed by the Department of Defense, The Joint Commission, American Hospital Association (AHA) Coding Clinic and Centers for Medicare & Medicaid Services (CMS) coding guidelines.
Enter the codes directly into the Ambulatory Data System (ADS) directly. Confirm the correct patient data is contained in the medical record to ensure that incorrect demographics are not entered into a file. Verify name, social security number and dates of service corresponding to those listed in ADS before entry of the diagnosis and procedure codes.
Compile, verify, and file medical records of hospital or clinic patients and compile statistics for use in reports and surveys. Review records to ensure they are complete; assemble forms and test results to ensure that material and information on like subjects are kept together and eliminating duplicate copies within file.
Review medical records and associated files annually and pull medical records and X-rays that have not been used for two (2) years.
Take messages as required and relay messages to staff.
Arrange and schedules meetings for customers and staff members as required.
Obtain, update and file departmental records/reports.
Ensure completeness, accuracy, and consistency within established guidelines.
Enter data from various sources (reports, equipment displays, printouts, forms, et) into the appropriate computer system. Print reports at a required.
File, retrieve, and collate documentation.
Provide programmatic support services when the services are unique to a medical environment.

Qualifications
High School Diploma or General Educational Development (GED) equivalency.
Minimum one (1) year of experience providing medical administrative support services preferred.
Minimum six (6) months experience with the following systems preferred:
Armed Forces Health Longitudinal Technology Application (AHLTA)
Composite Health Care systems (CHCS) and/or MHS GENESIS
Defense Enrollment Eligibility Reporting System (DEERS)
Knowledge, Skills and Abilities
Ability to read, write, speak and understand English.
Ability to type 50 WPM, preferred
Ability to use standard office equipment, such as personal computers, copiers, fax machines, and telephone systems.
Knowledge of medical ethics, telephone etiquette, and excellent communication and customer service skills.
Knowledge of Medical terminology, preferred.
Experience with Microsoft Word and Excel
