Currently working with a high growth biotech company that is scaling the department and looking for a Manager of Payroll & Equity Administration to oversee the payroll and equity administration functions within the company. This company is building out the department and looking for someone that has experience with change management and supporting that build out before. responsibilities:
Manager of Payroll & Equity
This person will be responsible for processing and ensuring the accuracy of the semi-monthly payroll for our rapidly growing company. In addition, they will own the day-to-day administration of company's equity plan. In this role, you will drive the strategic design development, management, implementation, and administration of global payroll as well as hands-on, end-to-end administration of the global equity plans. The ideal candidate will have at least 8 years of public company experience and be exceptionally organized, self-motivated, responsible, flexible, deadline and detail-oriented, and resourceful.
Payroll Administration
Process semi-monthly payroll using third party payroll platform
Subject Matter Expert (SME) in payroll-related items including various earning codes, deductions, withholdings, and taxation
Maintain payroll and reporting schedules to ensure critical deadlines are met
Identify and implement process improvements and best practices in preparation for growth
Complete off-cycle payrolls, perform manual check functions and other functions as requested
Review timesheets, work charts, wage computation, and other information to detect and reconcile payroll discrepancies to ensure pay integrity; verify sick and/or vacation time or other paid benefits
Monitor and improve payroll system to ensure Legal compliance
Process and issue employee paychecks and statements of earnings and deductions - Partner with the People team to ensure all employee changes are implemented completely and in a timely manner
Perform full auditing procedures pre- and post-payroll cycle, creating reports and validations regarding identified occurrences
Retrieve and process 401k data and make proper adjustments in the payroll system (including changes such as new enrollments, loans, auto-escalation percentages, or other payroll 401k contribution changes)
Take initiative in addressing issues and assisting employees with payroll-related questions
Maintain and reconcile payroll-related General Ledger accounts
Execute payroll-related SOX controls timely and effectively
Stay current on new guidance and ensure federal, state, local, and international payroll tax compliance
Respond to and resolve federal and state tax inquiries
Perform other duties and ad hoc requests as needed Equity Administration
Lead equity programs and ensure that all equity transactions are accurately processed and settled in a timely manner, including RSUs, PSUs, Options, and PSOs - Manage the relationship with third party recordkeeper and oversee data integrity, data validation, employee demographic data, etc.
Respond to participant inquiries (teammates, Board members, etc.) and/or engage recordkeeper for resolution
Prepare share pool analysis for Board materials (eg: burn rate, shares issuable, share modeling data)
Prepare and/or validate stock-related data for external disclosures, including the proxy and 10K, and associated Section 16 filings
Coordinate with Legal, recordkeeper, and external counsel on 10b5-1 plans and blackout dates
Partner with Legal and Finance to ensure ongoing compliance with all Regulatory requirements, internal and external reporting and requirements, and disclosures
Work with internal and external audit parties to evaluate controls, process documentation, and documentation for SOX compliance
Work closely with internal stakeholders to ensure awards are properly approved based on grant guidelines, the Compensation Committee, and/or the Board of Directors as required
Conduct monthly, quarterly, and annual reconciliation of records between the recordkeeper, Finance, and Legal
Generate and review recurring and ad-hoc reports required for Finance, Payroll, and Legal departments
Reconcile transactions, termination dates, tax withholding and reporting, and other items as required
Develop communication materials and conduct internal training as needed - Identify, develop, and implement processes and procedures to automate, streamline, and improve stock administration functions
Create and maintain process documentation for the department, including recurring operational work and special initiatives
qualifications:
Required Experience & Qualifications
Bachelor's degree required
8+ years of experience in payroll and/or equity
ADP and ETRADE/EEO experience required
Relevant experience in administration of global payroll and equity plans
Strong working knowledge of equity plans and various equity award types
Ability to function in a fast-paced, stressful environment
Excellent project management skills
Strong verbal, written, and interpersonal communication skills with an ability to communicate effectively with all levels of employees and internal/external partners
