About the role
We are looking for a Management Assistant to support the Global Heads of Corporate Communications, Strategy and Investors Relations (IR), located in Zurich providing valuable administrative support. Additionally, this role is part of the broader Zurich Assistant Network, whose aim is to exchange best practices, deepen the knowledge of business topics, develop skills and provide mutual support to enable our senior leaders reach their business objectives. The role is a 12 months temporary contract with the possibility to be extended.
Key responsibilities include
Agenda management of the Heads of Units: provide availability, coordinate meeting scheduling within defined criteria and based on individual needs
Travel arrangements (booking flight, hotel, transportation, request visas, etc.)
Manage invoices (set up vendors & code invoices) and expenses (submit expense report, approve direct report expenses)
Provide admin support to the Investor Relations department (coordinate and organize roadshows, enter meetings, etc.)
CRM Tool - Keeping data up to date, documenting Investor meetings, extracting data, target lists and all other relevant IR information
Building efficient and professional working relationships with employees, customers, suppliers, acting as a filter and focal point to internal and /or external contacts
Investor gifts - design gifts for analysts & investors throughout the year, working closely with ambassadors and packaging companies
HY & FY Publication events - Supporting Investor Relations Manager in combination with Corporate Communications manager - with all event-related tasks
AGM - Supporting Investor Relations Manager in combination with Corporate Communications manager - with all event-related tasks
Being point of contact person for the department
Support in event organization (team events, activities & dinners), presents (thank you’s, birthday, Christmas, anniversaries, etc.)
Preparing newcomers; arrivals (onboarding agenda, material, visit cards)
Active participation in the Zurich Assistant Network meetings
About you
Appropriate vocational or University training (either in business/ economics, as a management/ executive assistant, or related field)
Proficient in English, other languages are an advantage
Ideally 5-7 years of experience as a Management Assistant or similar role in an international environment
Familiarity with Corporate Communications, Strategy and Investor Relations related topics, previous experience in those departments is a plus
Strong computer literacy with experience of Google Suite, Success Factors, SAP, Concur, and RemedyForce preferred
Experience in supporting multiple stakeholders of similar level of priority
Passionate, quick thinker, creative and an effective problem solver
Efficient and service-oriented way of working
Affinity with people topics
Strong stakeholder management skills and experience in interacting with people of various levels in the organization
Detail-oriented, flexible and customer-focused
Ability to prioritize and switch between different tasks and deadlines
Ability to work independently with a proactive and ‘can do’ mindset
Highest degree of reliability and trustworthiness with an ability to maintain a high level of confidentiality
Excellent verbal and written communication skills
