Logistics Specialist

Kalmar is looking for a Logistics Specialist, who will be responsible for monitoring all open deliveries, invoicing and customer service. The person will handle all logistics issues for customers in a dedicated region and be in very close contact with central warehouses, multiple international logistics service providers, frontlines in the region as well as other supply chain teams. The purpose is to improve proactive follow up of customer orders and the customer service levels.
The position is located in Poland, Sweden and Finland.
Main tasks and responsibilities:
Supporting 3PL in organizing deliveries from Kalmar Central warehouses and supporting customers in designated regions with logistics issues
Prepare and review import and export documentation, including but not limited to commercial invoices, packing lists, bills of lading, certificates of origin, and other required customs paperwork
Ensure compliance with international trade regulations and customs requirements
Coordinate with customs brokers to facilitate smooth customs clearance processes
Maintain up-to-date knowledge of changes in import/export regulations and communicate these changes to relevant stakeholders
Collaborate with carriers, freight forwarders, and other transportation providers to arrange the most efficient and cost-effective transportation solutions
Monitor shipment schedules and track the movement of goods to ensure timely delivery
Resolve any transportation-related issues, such as delays, damages, or discrepancies, and communicate updates to all relevant parties
Optimize transportation routes and methods to reduce costs and improve overall efficiency
Collaborate with internal teams, including supply planning, sales, and customer support, to ensure smooth coordination of logistics activities such as direct delivery, customer claims, and returns
Act as the main point of contact for external stakeholders, including customs authorities, transportation providers, and vendors
Provide timely and accurate updates to all relevant parties regarding the status of shipments and potential issues
Analyze logistics costs and identify opportunities for cost savings without compromising service quality
Generate regular reports on key logistics metrics, such as on-time delivery performance and transportation costs
What you’ll need to succeed:
Education
Bachelor degree or similar, preferably specialized in Logistics/Supply Chain
Experience
1-3 years of experience working in global logistics in a similar role
SAP, JIRA, QlikSense and Google apps experience required
Google Looker Studio experience is an advantage
TMS, especially OTM, experience is an advantage
Prior experience from global Spare parts / aftermarket business is an asset
Competencies
Proven experience in logistics and international trade, with a strong understanding of import/export documentation requirements
Familiarity with customs regulations and procedures
Excellent communication and interpersonal skills with customer service mindset
Strong analytical and problem-solving abilities
Ability to prioritize and handle multiple issues in tight schedules with a positive can-do attitude
Energetic, proactive, independent and flexible working style
Good English language skills, both in speaking and writing, are a must
