SUMMARY
The Legal Contract Specialist - IP Section provides skilled legal and administrative support to the Intellectual Property Section of the Legal Services Department; drafts, reviews, negotiates, and processes confidentiality agreements, trademark license agreements, visiting scientist agreements, advisory board agreements and other contracts as assigned; provides highly responsible administrative support for the Intellectual Property Section in order to assist the legal officers, supervisors, research contract specialists and other departmental or institutional projects as assigned.

The Legal Contract Specialist - IP Section reports to a Sr. Legal Officer and is responsible for the following duties and activities:
Provides support to the legal officers in the Intellectual Property Section of the Legal Services Department, including serving as the primary person responsible for reviewing, negotiating, drafting and processing contracts and documents such as confidentiality agreements, trademark license agreements, visiting scientist agreements, advisory board agreements and other contracts as assigned .
Responsible for entering contracts into contract and file management systems for creation, executing, routing, and filing contracts as appropriate.
Legal Resource
Provides skilled and highly responsible administrative support for the Intellectual Property Section, including:a. Maintains up-to-date and accurate spreadsheets and reports of contracts processed, and monitors agreement metrics. Tracks agreement processing through applicable institutional databases and systems and communicates negotiation status in a proactive, timely and accurate manner.
b. Initiates letters, emails, memos and reports and visually proofreads all documents produced to check for grammatical and structural accuracy.
c. Prepares documents for execution and coordinates the receipt and delivery of documents both internally and externally.
d. Schedules meetings/conferences and schedules conference rooms.
e. Assists with the preparation of special projects, such as determining metrics, creating reports, and preparing presentations.
f. Maintains monthly assignment log for supervising attorney.
Organizes and maintains files and other related matters as necessary.a. Prepares files for agreements and corresponding documentation for records management database.
b. Prioritizes and organizes assigned agreements and maintains tickler file for contract review/renewal, long-term projects, and routine follow-up with institutional clients, outside attorneys and other individuals.
Actively participates in staff meetings, providing feedback on problems and proposing resolutions.
As appropriate, attends meetings with institutional employees outside of the Legal Services Department, assists in preparation for these activities and takes complete and accurate notes for follow-up activities.
Maintains calendars of legal officers as needed.
Assists with the preparation of projects, such as reports, meetings and presentations, including the creation of PowerPoint slides. Copies, scans and faxes documents as requested.
Adheres to institutional requirements on educational and training deadlines and attends training as required.
Provides other legal and administrative support to the legal officers in the Intellectual Property Section and other Legal Services staff as needed.
Other Perform other duties as assigned and required.
Required education: Bachelor's degree.
Required experience: Four years experience in a law office environment or in general business to include two years of reviewing, analyzing, drafting, or negotiating contracts. May substitute required education degree with additional years of equivalent experience.
