Position Purpose
The HRIS Specialist provides wide use of databases/reporting systems to help track and improve human resource data points. Will include monitoring/auditing/requesting updates to employee data, preparing reports and process improvement. Will also suggest ways to increase the functional productivity and workflow of the HR department. Will provide support to HR team including troubleshooting, analyzing, identifying, and correcting technical problems and deficiencies within data parameters. Helps to maintain data integrity and confidentiality within the scope of HR data. Provide professional human resources to Century College employees in collaboration with Minnesota State (MinnState) HR Service Center (HRSC) and Century HR. Acts as a liaison between shared services and employees on campus for employee workload entry. Participates as a member of the HR staff team in continuous improvement and professional development activities revolving around HR data proficiency. Acts in conjunction and coordination with internal campus partners, stakeholder partners in the business office/payroll and similar professionals across the Minnesota State (MinnState) system.
Position Responsibilties
Acts as the lead campus resource for Human Resources Information Systems. Use data reports to regularly audit records/systems of assignment entry to ensure accuracy. Acts as a liaison between the assignment entry team, assignment approver team, Human Resources Service Center (HRSC), campus payroll coordinator and campus employees to coordinate correct processing and corrections of inaccurate assignment information. Confirm employee information is handled according to data privacy regulations and required documentation is collected and maintained.
Analyze HR processes and procedures to develop, recommend and install new or revised work methods, processes, and procedures for clearly defined problems in areas such as records management, work and information flow, systems analysis/design, and data processing.
Acts as lead in planning and assisting in the installation of new methods and procedures (i.e., Workday) to reduce disruption of operations.
Provide primary Human Resources data analysis and reporting including creating reports, analyzing data, and making recommendations for change. Prepare reports and analysis of employment data and personnel records for use in reporting requirements, payroll calculations, college-wide budgeting, and investigations. Work with AVP Human Resources, Assistant Director of Human Resources, other confidential HR personnel, and senior administration to compile labor relations data and reporting for use in collective bargaining
Works in collaboration with HR employees to provide response to data requests by leveraging access to technology; acts as the primary respondent to employee data requests under the supervision of the Associate Vice President.
Minimum Qualifications
Associate degree and two years of experience in process analysis, development, improvement, workflow management, data or information management, or equivalent combination of education and experience aligned to this position.¿
Strong analytical skills with the ability to see a project or activity from beginning to end.
Demonstrated written and oral communication skill with ability to deliver complete and accurate documentation, communicate milestones, metrics, and changes as they arise.
Ability to use standard computer software systems.
Ability to analyze complex information in order to explain the issue to layperson and recommend solutions.
Preferred Qualifications
Bachelor’s degree
Demonstrated attention to detail and the ability to manage multiple tasks and timelines.
Experience working in HR or payroll department
Ability to work independently with minimal supervision.
