MINIMUM REQUIREMENTS:
A high school diploma or its equivalentandthree (3) years of secretarial, clerical, or customer service work experience.
College education from an accredited institution can substitute at the rate of 30 semester or 45 quarter hours for each year of the required work experience.
A valid Class E Driver License.

JOB DUTIES:
GENERAL STATEMENT: This position assists the Administrative Assistant III in handling all accounts receivables and monies received by the Bureau of Plant and Apiary Inspection.
Processes and distributes unresolved payments that are received daily. Ensures that all payments are correct before processing, and requests additional payments that are due via written correspondence.
Enters data for all certified Imported Fire Ant (IFA) nurseries and stock dealers into the Plant Inspection Trust Revenue (PITR) database system.
Enters payment information for all monies received i nto the PITR database .
Audits, research, and corrects information for Imported Fire Ant compliance and certifying stamps in the Oracle imaging system.
Assists callers with payment information, copies of certificates, invoices and renewal notices.
Assists with scanning and uploading regulatory documents into the Division’s Enterprise Imaging System (EIS).
Performs other related duties as required by supervisor.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of departmental policies and procedures, and of general office procedures and practices.
Knowledge of arithmetic and general bookkeeping principles and practices.
Knowledge of database structures and fields.
Skilled in the use of computer hardware, including Microsoft Office Suite and Access.
Ability to work independently and as a team.
Ability to comprehend and apply departmental policies.
Ability to communicate effectively orally and in writing in a courteous and professional manner.
Ability to plan, organize and coordinate information and work assignments with little supervision.
