Purpose:
Responsible for the accurate and timely execution of employee lifecycle data changes including offer letters, reviewing and ensuring accuracy of data, transacting or answering inquiries on personal data change requests including job changes, pay changes, employee separations, profile changes, in line with standard policies, procedures and Service Level Agreements (SLAs). This role is also responsible to answer all general employee inquiries using internal Case Management tool.
What You'll Do:
Champions a customer-focused culture to leverage broader Bank relationships, systems, and knowledgeEnters and processes employee transactions including but not limited to; job data, leave of absence, compsenation, and personal information changes in HR systems throughout the employee lifecycleEnsures data accuracy and integrity of employee records through established internal control mechanisms Responsible for reconciliation of the Data Bridge process; setting up meetings, tracking and review of daily filesEnsures all employment related documents such as offer letters, employment contracts, reference checks, I-9s, etc. are completed and received in a timely and accurate manner, and are stored and maintained in alignment with retention guidelinesEnsures proper usage of desktop procedures, standard operating procedures, knowledge management and case management systems to effectively respond to, document and monitor service and transactional requestsPerforms weekly reconciliation of employee and department data between SuccessFactors and other downstream systems such as Time and Attendance, Mandatory Time Away, Bright Horizons, Uber, and Seamless, ensuring accurate utilizationCollaborates with the Talent Acquisition and Hire and Onboarding teams in supporting the coordination and administration of recruitment activitiesCoordinates the scheduling and delivery of orientation sessions and tracks orientation attendance Administers offer letters for promotions, lateral movements, contract extensions, and temporary assignments for non-posted roles, where applicableCreates Personell Action Form (PAF) for each employee and or department change in a timely manner to ensure payroll team can process accuratelyProvides effective and efficient responses to inquiries from internal and external stakeholders regarding HR policies and procedures within Service Level Agreements (SLA's)Responsible to calculate severance estimates and working closely with Employee Relations and HR Business Partners on execution of related activitiesResponsible for all HR related offboarding activities Responsible for the maintenance, ownership, and peer review of various internal trackers and checklistsSeeks opportunities to improve operational effectiveness, and proposes recommendations to the Manager, HR Operations and GovernanceWork closely with other members of U.S. HR (i.e. Payroll, HRBPs) to ensure alignment across various HR Operations processes and activitiesAdditional ad-hoc duties and projects as they ariseUnderstands how the Bank's risk appetite and risk culture should be considered in day-to-day activities and decisionsManages intake of all physical mail, including the verification and processing of incoming invoices, as applicableActively pursues effective and efficient operations within his/her respective areas, while ensuring the adequacy, adherence to and effectiveness of day-to-day business controls to meet obligations with respect to operational risk, regulatory compliance risk, AML/ATF risk and conduct risk, including but not limited to responsibilities under the Operational Risk Management Framework, Regulatory Compliance Risk Management Framework, AML/ATF Global Handbook and the Guidelines for Business ConductChampions a high-performance environment and contributes to an inclusive work environment
What You'll Bring:
Post-secondary Degree or Diploma in Business or Human Resources or pursing education in related field preferredExperience in a customer focused area an assetKnowledge of employee data administration, HR transactions, and end-to-end processesDeep understanding and knowledge of Bank policies and proceduresStrong knowledge of organizational structure and complexityStrong people leadership skills - experience working within cross-functional teamsAttentive to details and deadlines; ability to manage multiple prioritiesExperience with transaction processing and data managementExperience in conflict / issue resolutionAbility to maintain confidentialitySound judgement and problem-solving skillsStrong verbal and written skillsStrong Microsoft Office skills, primarily Excel
