About the role
Reporting to the Office Manager, the FOH Facilities Coordinator is an integral part of our UK office providing professional front of house reception and facilities coordination service to the TWE Europe HQ office based in Twickenham. In this varied role you will be involved in a mixture of office administration, reception, and HR/ H&S administration responsibilities. This role is .6 FTE, three days per week to be completed between Monday – Thursday with flexibility available on how the three days are worked.
Here are just some of the responsibilities you will have as our FOH & Facilities Coordinator:
Ownership of all reception responsibility, ensuring visitors and your colleagues receive high level of FOH service.
A key contact for the building manager, managing ongoing maintenance and minor repairs of all office and facilities maintenance and service contracts (including cleaners, waste contractors, consumables e.g. stationery, kitchen supplies, couriers, security/alarm, fire equipment, air conditioning, Lighting & Electrical, Equipment leasing and plants
Maintain the PO and budget tracker to ensure all facilities related spend is being tracked.
Engage with global comms to support any campaign messaging for the region.
Manage New Hire Corporate inductions including H&S
Ad Hoc support tasks (eg: Event support, Support to EA & Office Manager, Board Meetings, Tastings, Office decoration for key periods in the calendar or Brand activations / launches etc)
Manage PtP (Purchase to Payment) process for all third party HR vendors (POs, new vendors).
Co-ordinate and prepare delegate materials for in-house and external meeting, conference & training events. Manage set-up and coordination of WSET courses.
Support execution of H&S compliance processes e.g. Driver Assessment, Desktop Ergonomic Assessment (Follow up with High Risk PR employees to resolve and ensure compliance maintaining a record for audit purposes)
Maintain First Aid & Fire Warden register and training.
About you
We are looking for someone who has administration experience, who has ideally worked in a FOH/ reception role. We are looking for someone who is motivated, proactive and professional who is keen to join a strong company culture
A good standard of verbal and numerical reasoning skills
Previous experience in an Administrative/Receptionist/Office Management or similar role
Excellent interpersonal skills. Enthusiastic and positive
Ability to communicate with a broad range of people internally and externally and at all levels
Strong attention to detail
Motivated self-starter, ability to work on own initiative
