About Front Desk Coordinator

Description We are offering a unique opportunity for a Front Desk Coordinator in the Investment Management industry based in Seattle, Washington. The role focuses on creating an inviting workplace environment and ensuring smooth operations in our office. This role offers a short term contract employment opportunity.

Responsibilities:

• Efficiently manage incoming phone calls and direct them to the appropriate department or personnel

• Welcome and assist guests in a professional and courteous manner

• Maintain knowledge of daily office activities and schedules

• Ensure the cleanliness and organization of common areas including kitchens, supply rooms, corridors, and conference rooms

• Coordinate setup and cleanup of office meals

• Manage inventory and restock office supplies and snacks as needed

• Handle sorting and distribution of packages and mail

• Submit maintenance requests to the building management as needed

• Assist in various ad hoc projects as assigned by different departments such as Business Support, Investor Relations, Finance, and Human Resources

• Utilize Microsoft Excel, Microsoft Outlook, and Microsoft Word for data entry and organization purposes

• Facilitate logistics for high profile events and ensure adequate inventory for daily operations. Requirements • Proven experience in Administrative Assistance

• Proficiency in Answering Multi-Line Phone System

• Experience in providing Concierge Services

• Strong Customer Service skills

• Ability to perform Data Entry tasks accurately and efficiently

• Excellent Interpersonal Skills

• Proficiency in Microsoft Excel, Microsoft Outlook, and Microsoft Word

• Experience in Organizing Files systematically and maintaining records

• Experience in coordinating High Profile Events

• Ability to manage Adequate Inventory levels

• Experience in handling Daily Mail operations

• Ability to work with Account Executives effectively

• Experience in coordinating Logistics for various company operations.
