Workspace OperationsProvides hospitality and support for guests, visitors,and employees at client locations.Works with all internal departments such as IT, Security, Kitchen, RealEstate to ensure all works within the office.Work within JLL and Client CMMS systems to claim tickets and ensure all issuesare completed within the defined Service Level Agreements (SLAs)Convert requests outside of CMMS systems (phone calls, text, email,etc.) into tickets that can be tracked and resolved.Setup surge spaces according to the requests make by client officecoordinators. Setup desks, post signs and ensure the space is preparedaccording to team needs.Coordinates special events in support of client or JLL.Light maintenance work which would include hanging pictures, white boards,ceiling tiles, etc.Mailroom OperationsDaily processing and sorting, pickup and delivery of allinbound and outbound courier and mail.Reconcile and account for all incoming and outgoing mail and packages.Support the day-to-day delivery of mail services on site in accordance withall agreed upon policies and procedures.Act as the direct liaison with all mail support service vendors (i.e.postage vendors, FedEx, UPS, DHL, etc.)Process and handle all incoming and outgoing mail, ensuring properrouting, and labeling.Scan incoming deliveries from FedEx, UPS, USPS, DHL, FedExGround/Home, and any other deliveries.Maintain logs for incoming mail from vendors, mail delivery to customers,and all packages.Handle all special request mail responsibilities, such as UPS, FederalExpress, and courier service.Support clients with international outbound shipments, paying closeattention to international requirements as outlined in the account SOPS.Research and follow-up with clients regarding tracking mail and/or packages.Perform mailroom inspections and inventory supplies.Maintain Client Specific Responsibilities such as audit perks and otherservices, handling swag, managing vendors, bike and parkingregistration, handling events/ops, IT returns and leaver process.Any other activities to support JLL and/or site operations, including,but not limited to moves/reconfigurations, events, safety orsustainability practices.JLL Vendors and SuppliersCollaborate with JLL sourcing team on national andregional sourcing opportunities to define scope, coordinate supplierwalk-through, and manage national and regional supplier performance atproperty level.Manage and support existing contracts for facilities within your geographicalareas.Coordinate discussions with selected vendors or suppliers regarding goalsetting, performance criteria, and performance reviewProperties and ProjectsResolves problems associated with building servicesincluding janitorial, conference rooms, workstation as well as interiorand exterior furnishings, fixtures and equipment, printers, andmeal/snack service.Assist with the coordination and scheduling of maintenance activities toensure completion within the defined Service Level Agreement (SLA)Establish strong relationships with property management and landlords.Coordinate service visits with property management representatives and vendorsEnsure that facilities are in compliance with applicable building, health,safety, and fire codes and regulations.Proactive in finding improvement projects and following through on a plan tocomplete projects.Complete short and long-term projects for the clientAbility to identify costs savings.Required Knowledge, Skills, and Abilities:2+ years of experience infacilities/property management or a related fieldExcellent interpersonal, customer service, communication, organizationaland management skillsStrong computer proficiency with MS Office and Computerized MaintenanceManagement Systems (CMMS)Basic Knowledge of facilities maintenance workExperience working within budget and time constraints.Ability to multitask and ork without direct supervision.Working in a fast-paced environmentBasic knowledge of real estate, telecommunications, furniture,accounting and building systems a plusWorking Environment:This position is based in Denver, Colorado with tripsoccasional trips to other facilities. Travel will make up no more than 10%of this position.
