Profile of Position and Skills
The Executive Legal Assistant plays a pivotal role in providing secretarial support services to the legal section and other members of management as directed by the General Counsel. The Executive Legal Assistant assists the General Counsel and Louisiana Legislative Auditor (LLA) management in various duties, both on their own initiative and at the request of the General Counsel. The work is performed in strict confidence and requires independent judgment in the successful performance of job responsibilities.
Qualifications
Minimum Qualifications
Six (6) years of administrative assistant experience, preferably in a law office, legal department or court setting.
High school diploma.
Paralegal experience, preferred.
Good working knowledge of Microsoft Office Products, including Word, Excel and PowerPoint.
Excellent written/oral communication skills.
Superior organizational skills.

Supervision Received
Supervision is received from the General Counsel. The Executive Legal Assistant is responsible for working without close or direct supervision in the performance of routine duties.
Supervision Exercised
The Executive Legal Assistant has limited supervisory duties as regards to the Legal Secretary.
Job Distinctions
The Executive Legal Assistant distinguishes itself from the Legal Secretary by demanding a broader range of judgment and duties performed with a lower degree of supervision. Comprehensive knowledge of legal terminology, court rules, legal formats, and related matters is essential.

Administrative and Clerical Tasks:
Greet and screen visitors
Receive screen, and Handle telephone calls
Schedule and manage appointments
Manage incoming and outgoing mail
Copy, organize, mail, and distribute materials
Perform other related duties as assigned
Document Management:
Type intra-office memoranda, correspondence, legal opinion letters, pleadings, and contracts
Proofread major documents and confidential correspondence.
Display initiative in clearing questionable items with supervisor.
Maintain primary responsibility for the legal section electronic files.
Maintain primary responsibility for public records responses.
Maintain contract database, including monitoring of contract renewals.
Legal Support
Take dictation and/or transcribe taped materials.
Assist in the preparation, review and processing of time sheets, expense reports, travel authorizations, CLE registrations, file maintenance, other related forms and information while maintaining confidentiality.
Maintain an accurate, updated log of section work assignments, progress data, and dispositions.
Assists the General Counsel and Senior Attorneys in trial preparation including:
Maintaining an accurate calendar of court dates and advising the General Counsel and Senior Attorneys of upcoming court appearances and deadlines.
Photocopying, preparing exhibits, preparing and organizing case files and logging incoming pleadings and correspondence.
Liaison and Cross-Utilization
Acts as liaison with government/public officials, court officials, and the general public as directed.
Participates in cross-utilization of the administrative staff as directed.
Back-up Coverage
Provides back-up coverage and assistance for the Executive Assistant including, but not limited to:
Handling telephone calls for the Legislative Auditor and First Assistant, composing correspondence and transcribing correspondence and minutes.
