We are looking for a dynamic Office Manager to join our team at our headquarters in Tysons Corner! CATHEXIS is seeking a full-time Executive Assistant/Office Manager to support corporate leadership and day-to-day company operations. This role will report directly to the Chief Executive Officer and work closely with company leaders to manage our Headquarters, lead coordination of company events, assist in scheduling company meetings, lead all office improvement initiatives, and other tasks as needed. The ideal candidate works well with others, has the drive to learn and master skills, is naturally curious, and has a strong attention to detail.
This position is hybrid with the need to be in the office three days a week and when leadership is in the office in Tysons, VA.
Responsibilities:
Work closely with senior leadership to schedule appointments and arrange meetings, ensuring guests are cleared into the building and escorted as needed, reserving meeting rooms, ordering food, and inviting participants as required
Screen telephone calls, visitors, and incoming correspondence
Assist the CEO in preparing and executing briefings and meetings
Handle all tasks required to arrange service calls concerning administrative, logistical, etc
Request office supplies, maintain supply inventory, and coordinate and manage office improvement projects, and coordinate maintenance and repair of office equipment
Ensure timely action by relevant managers and staff on received action items requiring action by the senior leadership
Organize representational events in the specific department and elsewhere, prepare guest lists and invites, escort VIP guests, manage event staff and/or food and beverage service, reserve meeting locations, and coordinate the escort of other guests with staff members as needed
Maintain and update standard operating procedures (SOPs) for the office in compliance with specific organizational requirements
Advise and assist other staff members to ensure understanding and compliance with established SOPs, requesting guidance from senior staff members as necessary
Requirements:
High School Diploma or higher
Three (3) years of administrative/office management or relevant experience required
Skills:
Excellent attention to detail and customer service skills, including planning and management of conferences and representational events
Intermediate knowledge of and experience with the Microsoft Office suite and ability to learn the use of Department and Office databases as required
Strong oral and written communication skills and tact when interfacing with other offices, individuals, and institutions
Ability to prioritize and work on tasks simultaneously in a fast-paced environment
Coordinate activities throughout the company to ensure efficiency and maintain compliance with company policy
