Job Description:Danville Community College developed from two institutions, Danville Technical Institute and the Danville Division of Virginia Polytechnic Institute opened in 1936 as Danville Textile School, becoming Danville Technical Institute just after World War II. The Danville Division of Virginia Polytechnic Institute first began as an engineering division in 1946, and was later expanded to include the first two years of course work for all engineering, business administration, liberal arts, and science majors. Beginning in the summer of 1966, all programs taught by Danville Technical Institute were brought under the Virginia Department of Community Colleges. Effective July 1, 1968, the Danville Division of Virginia Polytechnic Institute merged with the existing community college providing the comprehensive programs now offered.
JOBSUMMARY:The Executive Assistant will ensure that the Office of the President operates effectively and efficiently while maintaining a professional environment and high level of confidentiality. The position will interact frequently with a wide variety of individuals on a daily basis, while supporting the President and the administrative operations of the College.
ESSENTIALDUTIESANDRESPONSIBILITIES:
Records meeting minutes for Local Board meetings and other meetings called by the President: compiles the agenda within two weeks of meeting date, transcribes and distributes copies of meeting minutes as required, no later than 2-3 business days.Systematizes official Board records. Serves as contact person with College Board members, college administrators, community leaders, faculty, staff, students, and the general public.Employs personal initiative, superb judgment, and extensive knowledge of VCCS and DCC policies and procedures to assure that matters directed to the Presidents Office are implemented appropriately.Compiles and manages confidential databases, files and records for the President with impeccable integrity.Answers telephone, responding to inquiries as necessary, receives, opens, sorts, dates incoming mail and distributes outgoing mail from Presidents Office. Supervises and coordinates coverage of Presidents Office with the assistants to the Vice President of Academic Affairs and Student Services and Vice President of Financial and Administrative Services.Supports coordination of the Colleges Master Calendar.Transcribes, writes, types, records and/or coordinates the preparation of correspondence and miscellaneous forms and documents for signature by the President in a timely and expeditious manner.Coordinates, tracks and ensures compliance of deadlines and assignments given to the Presidents executive staff.Responsible for guaranteeing timely completion of assignments and coordinates preparation of college documents and other documentation for Presidents signature.Attends bi-weekly (or as scheduled) Presidents Cabinet meetings in order to take, transcribe and distribute meeting minutes.Manages Presidents calendar and schedule appointments on a daily basis, or as needed.Plans and coordinates Presidents Office meetings and receptions on and off-campus for visiting groups, such as the VCCS, Chamber of Commerce, economic development organizations, members of the legislative delegation, and other meetings as required.Researches and compiles data for questionnaires, surveys, reports, and forms as required.Supports the annual multi-year appointment proposals, rank and salary proposals for all full-time faculty and administrators as requested.Coordinates Presidents travel requirements within 3 days of request and complete travel reimbursement process within 5-7 business days of return, or other agreed upon timeframe established by the President.Ensures compliance with DHRM, DOA, VCCS, SSC and DCC policies.Using eVA, places orders for supplies, processes payment of membership dues and various luncheons/dinners for meetings, etc.Using Chrome River, process preapprovals for travel, as well as travel reimbursements for the President and members of the DCC Board.Supports all College events, including monthly all College meetings, spring graduations and fall and spring convocation, quarterly Board meetings, and trainings as needed.Facilitates the collegewide administrative assistant orientation and training annually, or as requested by the President.Special Assignments
May be required to perform other duties as assigned. May be required to assist the agency or state government generally in the event of an emergency declaration by the Governor.
KSA's/Required Qualifications
Exceptional knowledge of and skills in Microsoft Office Suite, including spreadsheets and calendar programs, word processing systems, and database information systems.Prior experience as an Executive or Administrative Assistant in higher education, business or related field.Excellent customer service and organizations skills are required with the ability to multi-task and to greet/direct visitors as needed.Thorough knowledge and exceptional attention to detail, gained through experience in office practices, procedures, grammar, spelling and punctuation.Excellent oral and written communication skills.Exceptional professionalism and ability to work with diverse constituents, to include college and government officials, faculty and staff, students, the community, and the general public.Demonstrated ability to manage office activities and administrative work with minimal supervision.Ability to collect, organize, and effectively report both quantitative and qualitative data.Ability to handle highly sensitive, confidential documents and communications.Ability to prepare and facilitate trainings annually for administrative assistants college-wide.Demonstrated ability to interpret, apply and explain policies and procedures.Demonstrated commitment to diversity, equity and inclusion and to the college mission.Additional Considerations
