  Job Overview

  The Executive Assistant to the Executive Vice President and Dean provides key administrative functions and logistical support to the Executive Vice President and Dean of Georgetown University Law Center (EVP/Dean).

  A self-directed team player who takes initiative, the Executive Assistant anticipates needs, ensures consistent high quality products and materials, and adapts to different situations. Specifically, they are responsible for planning, scheduling, and maintaining the EVP/Dean’s calendar – and are foremost responsible for all aspects of the EVP/Dean’s schedule, including making all arrangements for day-to-day meetings, events, and travel with consistency and acute attention to detail. That support involves scheduling meetings for all initiatives of the EVP/Dean’s office, ensuring that all materials for meetings are distributed to participants in a timely manner, and that all meetings are confirmed.

  As well, they are responsible for daily briefing material preparation, assistance with preparation for meetings, correspondence including email, mail, and phone calls to the EVP/Dean’s office; event support for events organized by the EVP/Dean, and other duties as assigned.

  Work Interactions

  The Executive Assistant reports to the Associate Vice President and Chief of Staff (AVP/Chief of Staff) for the EVP/Dean, who manages the EVP/Dean’s Office team, with significant interaction with and direction from the EVP/Dean.

  The EA - a trusted member of an essential team - has significant contact with all persons who interact with the EVP/Dean’s Office. They manage the complex needs of the EVP/Dean, and consequently, have a critical role in the proper functioning of the EVP/Dean’s Office. They necessarily maintain a firm grasp of the EVP/Dean’s Office organization, the Law Center, and the University more broadly; and maintain a strong working relationship with offices throughout the Law Center and University.

  In a highly visible position, the EA proactively engages with, learns, and communicates with evolving technologies to enhance the productivity of the EVP/Dean and their team. They interact on a regular basis with both internal and external constituencies, including faculty, staff, students, alumni, Law Center and University officials, local, national, and international government officials, and VIP dignitaries. As such, the professionalism with which the EA performs their duties has an impact on the impression that faculty, staff, students, and visitors have of the EVP/Dean’s Office and the Law Center.

  As well, the EA interacts closely with all direct reports of the EVP/Dean as well as the direct reports of the Vice Dean; and with all levels of Law Center and University leadership, counterparts in other offices, Board members and their representatives, and external colleagues.

  Requirements and Qualifications

  Bachelor’s degree

  3 to 5 years of progressively complex administrative and customer service experience supporting senior leadership or C-level executive(s)

  Excellent written and oral communication skills, including grammar, spelling, and composition Exceptionally strong organizational skills and analytical abilities

  Proven interpersonal skills and experience providing complex administrative support in a high profile environment with courtesy, professionalism, diplomacy, efficiency, and confidentiality

  Ability to effectively manage and prioritize multiple tasks and work under pressure

  Proficiency with standard office equipment, such as printers, copiers, faxes, and scanners, and excellent skills with standard office productivity software including Gmail, Google Calendaring and other applications, Microsoft Office Suite (MSWord, Excel, Outlook and PowerPoint), including the use of advanced formatting of Word, and the ability to set up and use Excel and Google spreadsheets

  Preferred qualifications

  Ability to work with a variety of personalities and constituencies to meet the demands of the job

  Proactive self-starter who accepts direction and feedback from supervisors
