Description The Executive Assistant facilitates the efficient operation for assigned company executives by providing executive administrative support. This is a full-time position working M-F from 8 am - 5 pm out of the Twin Cities Orthopedics Corporate Office in Bloomington, MN. Twin Cities Orthopedics is an operating division of Infinite Health Collaborative (i-Health), a group of local medical practices, owned and led by its physicians, on a mission to give patients more control over their healthcare. Essential Functions: Provide timely and professional service to internal and external customers via email, fax, over the phone, video conferencing or face to face. Assist TCO and Revo Health Executives with a variety of administrative tasks that include but not limited to: managing an active calendar of appointments; composing and preparing correspondence; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for meetings. Work with care coordinators to schedule various physician meetings. Will attend a variety of internal meetings to take notes and distribute thereafter. Ability to prioritize tasks and most time sensitive matters on appointment scheduling. Appropriately handle confidential and sensitive information on behalf of executives. Performing minor accounting duties such as processing expense reports or invoices. Support TCO President and Chief Medical Officer when needed. Schedule TCO service line meetings and assist in pulling applicable meeting reports. Manage contracting process for TCO and Revo, including gathering signatures and filing with legal team. Build presentations for Executive Leadership team as needed. Maintain org charts for Revo and TCO. Answering phone calls in a polite and professional manner. Complete special projects for executives as needed. Any and all other duties as assigned. Education and Experience Requirements: Bachelor's degree or relevant related experience required. 5-7 years of experience in an administrative role required. 5+ years of experience assisting at the executive level. Ability to work in a challenging and fast-paced environment. Must possess a high degree of professionalism and ability to handle highly confidential information. Strong organizational skills that reflect ability to perform and prioritize multiple tasks effectively and efficiently with excellent attention to detail. Ability to maintain organization while effectively managing multiple tasks and competing priorities. Ability to use judgement and discretion and complete tasks with limited or no direction. Adaptable and able to learn new systems quickly and efficiently. Advanced skills in Microsoft Office. Ability to work independently. Work in the clinic, office or surgery center during business hours. Travel independently throughout the clinic, office or surgery center (which may include movement from floor to floor); frequent bending, lifting, standing, stooping or sitting for long periods of time may be required. Work at an efficient and productive pace, handle interruptions appropriately and meet deadlines. Communicate and interact in a respectful and professional manner. Prioritize workload while being flexible to meet the expectations of the daily operations. Apply principles of logical thinking to define problems, establish facts, and draw valid conclusions. Understand and execute a variety of instructions. Effectively operate equipment and communicate on and operate the phone system. Work independently with minimal supervi ion.
